NPAG is seeking an Executive Assistant to support the firm’s growing practice and elevate the quality of our services to our clients.

Celebrating more than 10 years of operation, the past three years have been marked by rapid growth, leading the firm to strategically invest in strengthening our internal capacity. Recently, we have upgraded our database platform, enhanced our benefits program, launched a new marketing initiative, and made key hires to improve our ability to serve a growing list of clients. In that vein, NPAG now seeks a talented and highly organized Executive Assistant to support our infrastructure and ensure that we continue to offer the highest quality services to our clients.

Opportunities and Challenges for the Executive Assistant

Reporting to the Managing Partner, the Executive Assistant will provide key support for both internal and external team functions. The firm will rely heavily on the new Executive Assistant to post advertisements on behalf of clients, craft proposal and budget documents, assist in marketing efforts, and respond quickly to the administrative needs of the entire team.

The main tasks the Research Associate will be charged to complete include:

Managing and prioritizing competing requests from various members of the team by utilizing prompt work-tracking methodologies

Creating business development and marketing materials using Word, Adobe Acrobat, and InDesign

Updating website using CMS tools, specially WordPress

Managing and monitoring firm mailboxes and confidential inquiries from potential clients and jobseekers

Developing and maintaining standardized tracking system for client advertising, project-related documents, marketing materials, and client gifts

Planning travel and managing reimbursement for team travel and meetings

Implementing project close-out process to ensure that team members have delivered the necessary information to complete database records

Assisting payroll team in identifying and reconciling company invoices and charges

Ensuring that central document storage, database, and relevant tracking documents are well-organized and up-to-date

Assisting with documentation and communication for new hires

Planning for special events (both for internal staff and clients)

Entering limited data in the research database upon request

Providing first-line technical support on Office365 and the Microsoft Suite

Qualities of the Ideal Candidate

Successful candidates will, first and foremost, combine strong communication skills with a highly organized approach to completing multiple tasks. Knowledge about the nonprofit sector and/or executive search are highly valued, and qualified candidates should have the ability to learn and problem solve quickly in a fast-moving, technology-dependent environment. The ideal candidate will bring a high level of energy, motivation, and discipline to his/her work. Additionally, s/he will have:

Exceptional organizational and communication capabilities along with a high level of comfort with technology

The ability to work independently and to problem-solve effectively, balanced with the wisdom to know when to seek guidance

Strong detail-orientation and an unfailing commitment to and pride in quality work

A collegial, team-oriented working style

Fluency and facility with web-based technology such as search engines, shared calendars, instant messaging, and databases, and both comfort and ability working effectively in a virtual environment

A healthy sense of humor and appreciation for creativity and fun in the workplace
