Executive Assistant to the CEO – Jewish Family Service – Seattle, WA

Jewish Family Service is seeking an exceptional Executive Assistant to the Chief Executive Officer. This full-time (37.5 hours per week) position will perform a variety of highly complex administrative and support duties requiring initiative, tact and independent judgment, coupled with an appropriate sense of urgency.

The Executive Assistant will work efficiently under pressure and creatively resolve issues that arise. Representing the organization with confidence and professionalism, the Executive Assistant to the CEO will interact with high-level internal and external contacts requiring discretion, diplomacy, and respect for confidentiality.

Responsibilities:

Serve as an administrative liaison between the CEO and agency staff, Board of Directors, community groups and representatives, political and community dignitaries
Plan, coordinate and ensure the CEO’s schedule is followed
Provide administrative support to the CEO including calendar management, scheduling appointments, coordinating travel, arranging itineraries and agendas, composing correspondence, handling incoming mail and drafting various reports; provide additional administrative support to the COO
Professionally respond to routine matters not requiring the CEO’s attention
Provide appropriate support to the Board of Directors, including monthly board meetings, board events and various executive and nominating committee meetings
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
Provide leadership to build relationships crucial to the success of the organization, and manage a variety of special projects, some of which may have organizational impact Perform work on weekends and evenings as needed to meet applicable deadlines
Other duties as assigned

Qualifications include:

High School or GED plus college-level business, public or office administration experience
5+ years of professional related experience providing high level executive support to Board of Directors, CEO or senior level staff member(s)
Excellent interpersonal skills, both written and oral, with the ability to work effectively and efficiently with leadership
Ability to prioritize and multi-task
Great attention to detail
Self-motivated with the ability to work independently and successfully meet timelines
High proficiency with MS Office Suite and note taking skills
Experience and/or knowledge of Jewish practices and sensitivity to Jewish culture
Familiarity with organized Jewish community
