Executive Assistant – Women’s City Club of New York

Position Description: The full-time Executive Assistant works with and reports to the Executive Director to ensure professional and efficient execution of day-to-day office operations.

Responsibilities:

Administrative • Serve as primary office administrator whose duties include but not limited to maintaining all operating office systems, monitoring inventories and ordering supplies as necessary, accepting and logging deliveries, copying and faxing, logging and processing incoming and outgoing mail, working with IT consultant regarding hardware and software, maintaining office equipment, answering phones, taking messages, and greeting members/guests. • Work with the Executive Director to provide administrative support to the organization’s Board of Directors. • Maintain the Executive Director’s calendar; prepare office correspondence, schedule internal and external meetings and conference calls, prepare background material for meetings, maintain organization’s master calendar as well as coordinate offsite meeting logistics. • Take minutes for meetings and follow-up on next steps as needed.

Communication • Produce and mail the WCC monthly calendar of events. • Assist Program Manager with newsletters, social media, and other communications. • Assist with efforts to develop, maintain and expand external, program contact and media lists.

Development • Assist Executive Director with development and fundraising events. • Log and process incoming mail and enter incoming funds from members and non-members in donor database. • Prepare membership letters as well acknowledgment letters for all donations. • Generate standard and custom reports that guide leadership in making data-driven decisions about overall membership and development strategy.

Public Programs • Receive and record program reservations. • Assist Program Manager with preparations for public programs, including preparing materials, arranging for meeting space and refreshments, registering attendees, and logging fees. • Provide logistical support for special events/fundraisers as needed.

Membership • Prepare and distribute annually updated Membership Roster to Board of Directors. • Manage the organization’s membership database.
