Overview of the Position:

LifeWire is seeking a talented Human Resource Assistant / Executive Assistant to administer all aspects of Human Resources for LifeWire and manage the Executive Directors schedule. A successful applicant for this position will be highly organized and able to handle competing priorities with a healthy sense of humor and a commitment to success.

KEY RESPONSIBILITIES:

Maintain and enhance LifeWire’s human resources.

• Handle all logistical and administrative aspects of human resources (HR) for the organization.
• Ensure legal compliance by monitoring and implementing applicable federal and state HR requirements, conducting investigations and maintaining proper records.
• Keep current on professional and technical knowledge regarding best HR practices and make recommendations to improve our HR practices accordingly.
• Maintain and update LifeWire’s personnel policies and procedures to ensure they are current, accurate, relevant and complete.
• Proactively provide support to staff on HR issues including hiring, benefits, reviews, discipline, and termination.
• Ensure staff are fully trained on and compliant with the organization’s HR policies and procedures.
• Coordinate administration of compensation and benefits.
• Manage relationships with insurance broker(s) and employee benefits provider(s).
• Develop and implement a recruiting and interviewing program for LifeWire.
• Prepare and post job vacancy announcements and job descriptions, process job application packets, manage communication with candidates and prepare offer letters.
• Prepare and maintain new hire packets to include: benefit enrollment paperwork, updated agency requirements, personnel policies, background checks and payroll information.
• Provide new hire on-boarding process, including the new employee orientation. Record new employee information in the ADP payroll system.
• Recommend best practices for annual reviews and ensure the reviews have taken place in a timely manner and are fully documented.
• Conduct exit interviews and process terminations.
• Prepare and maintain personnel files to include trainings, performance evaluations, leave requests, disciplinary actions and termination information. Keep all active and terminated employees’ files legal, organized, updated and locked.
• Conduct salary research every year to update salary ranges in preparation for annual budgets.
• Serve as a resource to staff in addressing all HR matters and as a confidential sounding board to staff in working through interpersonal and HR challenges.
• Develop and implement strategies for employee safety and wellness. Implement safety drills
• Work independently or within a team on special human resource projects.
• Ensure confidentiality and sensitivity in HR matters.

Support the Executive Director’s work agenda

• Anticipate and proactively meet the needs of LifeWire’s Executive Director.
• Assist the Executive Director in the management of her/his schedule.
• Schedule and organize complex activities such as meetings, conferences, presentations and other activities for the Executive Director and other Executive Leadership Team members.
• Provide administrative support for the Board of Directors by managing Board-related scheduling, preparing Board packets, arranging meeting venues, sending meeting reminders, staffing monthly meetings, taking notes at Board meetings and retreats and completing other assigned duties associated with Board support.
• Establish, develop, maintain and update filing system for the Executive Director and the Executive Leadership Team. Organize large volumes of information. Manage the organizational system of files and archives in compliance with LifeWire’s file retention policy.
• Answer phone and e-mail communications for the Executive Director, when necessary. Handle confidential and non-routine information.
• Prepare general correspondences, memos, charts, tables, graphs, business plans, etc for the Executive Director, Board of Directors and Executive Leadership Team. Proofread drafts for spelling, grammar and layout, making appropriate changes. Be responsible for accuracy and clarity of final copy.
• Plan for, schedule, organize and prepare materials for staff meetings, trainings and events as well as agency celebrations. Take notes at staff meetings and keep files on these meetings as needed.
• Act as project manager for special projects, at the request of the Executive Director.
• Act as a liaison with other agency departments and outside agencies including high-level staff such as CEOs, CFOs, senior staff and Board of Directors.
• Maintain a professional and positive working relationship with clients, vendors, volunteers, donors, Board and fellow staff and adhere to LifeWire’s standards of conduct.
• Be a consistent positive presence in the work environment.

Other Duties:

• Regularly report to and keep the Executive Director fully informed on the conditions and progress of assigned projects.
• Maintain a strong partnership with the Leadership team
• Provide support to Executive Director and the Board of Directors in carrying out agency goals and mission.
• Attend agency meetings to maintain a clear understanding of LifeWire programs.
• Provide clear communication enhanced with respect and trust of others
• Contribute to a positive, creative and supportive work environment.
• Other duties as assigned.

QUALIFICATIONS:

• Bachelor’s Degree and 3 years of relevant work experience, or a combination of equivalent education, experience, and training.
• HR and/or recruitment work history a plus
• Excellent customer services skills (internal and external)
• Employment law knowledge a plus
• Comfortable taking on new tasks and working independently
• Excellent writing skills and a gift for attention to detail
• Excellent interpersonal skills and build a collaborative team environment.
• Embraces change.
• Decisive decision making, while remaining open-minded and considerate of other’s views including equality and diversity
• Ability to multi-task, flexible, adaptable, and works well under pressure
• Strong commitment to the mission, and a willingness to learn the intricacies of domestic violence if not already familiar with the field.
• Strong computer skills including MS Word, Excel, and Outlook. ADP a plus
• Ability to pass background check.
