Office Administrator – Rainbow Center – Tacoma, WA

General Description: We are looking for a highly detail oriented person to lead the Rainbow Center (RC) front office. This job involves community interaction, independent motivation and leadership, customer service, good judgement, the ability to work and withstand interruption while remaining on task, work well with a tight knit team, remain tactful and empathetic, and office skills including: phones, filing, system tracking, invoicing, spreadsheet tracking, and document creation.

Scope of Work:

The Office Administrator, under the supervision of the Executive Director, is responsible for the following duties:

As part of the RC staff team, model and maintain a safe and respectful environment during center drop-in hours and ensure that visitors and volunteers follow established rules and boundaries.
Provide exemplary customer service by offering a professional and positive impression to visitors and callers, managing the flow of community at sign in and in the family room, and executing independent judgment and sound decision making on confidential and sensitive issues.
Daily center management which includes greeting community members and helping them with referrals, resources, information, and crisis intervention, function as a liaison between staff and community members, general center upkeep.
Information dissemination through social media including: monthly e-newsletter, Facebook updates, website updates, partner emails, etc.
Provide executive support to the Advocate, Development Team, and the Executive Director on occasion, including phone calls, calendar management, correspondence, board mailings, meeting minutes, and project management.
Facilitate the exchange of information and documentation between departments, staff, board of directors, and community providers.
Facilitate the relationships between the RC, our partners, and 11+ community groups that meet at our space.
Provide support to other RC staff members by completing monthly reports, making copies and collating packets, recording and distributing staff meeting minutes, managing agency room reservation calendar, and assisting with special projects.
Be part of the RC Outreach Team, which includes staffing tables at events and representing on panels.
Create posters, programs and collateral for RC events and our resource table.
Participate in planning and event management for RC fundraisers.
Invoicing, contract facilitation, tracking, and follow up for groups, sponsors, vendors, and service providers.
Record keeping, file management, copying, scanning, and general organization.
Complete at least 40 hours of required training for staff providing services for clients.
Other related duties as assigned.

Qualifications:

Associates or Bachelor’s degree preferred: relevant work experience may be considered.
Two years or more in an office setting, with a demonstrated ability to work collaborativelyas a successful member of a diverse team.
Solid organizational skills, including ability to prioritize, meet deadlines, multi‐task, and manage time effectively, monitoring performance to ensure quality.
Exceptional interpersonal and customer service skills, including an ability to set and maintain boundaries and manage and resolve conflict.
Demonstrated ability to contribute to an environment that celebrates diversity and difference, especially related to socioeconomic status, sexual orientation, gender identity, race, and ethnicity.
Excellent written and verbal communication skills, this needs to encompass the ability to connect and interact with diverse clients and community organizations.
Dependable, punctual, and courteous/respectful.
Ability to exercise discretion with sensitive issues and maintain strict confidentiality in adherence with agency, state, and federal policies.
Ability to establish and maintain an efficiency of workflow with strong attention to detail.
Demonstrated initiative, ability to problem solve, and a proactive work ethic.
Demonstrated ability to work effectively under stressful conditions.
Willingness and ability to articulate and abide by RC’s philosophy and policies in providing services to community, functioning as a member of staff and representing the agency.
Ability to be flexible and supportive, and to work collaboratively with staff as a member of a diverse team.
Advanced skill level of MS Word, Excel, and Google Docs required with other database programs preferred.
Broad knowledge of standard office equipment and office supplies required.
Experience working in a multi-faceted office/ community center environment.
This position requires the ability to stay on task in a busy environment with multiple interruptions.
Ability to work independently and with limited supervision.
Ability to work as a team member.
Ability to lift up to 30lbs, preferred.
Current Washington State driver’s license, reliable vehicle for transportation, and proof of required insurance, preferred.
Required Washington State Patrol background check.

Salary & Benefits:

This is a full time, non-exempt position which includes daytime hours, evening and weekend hours and some special events. Compensation for this position is $16-18 per hour. Benefits package includes employer- paid benefits for medical, dental, and vision coverage, paid holidays, Orca card, and a Paid/Sick Time Off (PTO) package. Position is open until filled.
