SIYLI is a quickly growing staff of 14 and searching for an office coordinator who can step in and support the successful growth of the organization.
Job Responsibilities
Office Coordinator’s responsibility is to oversee that the entire office is running smoothly and seamlessly and owning all the common areas. Supporting CEO, Program Director, and Operations Director with general administrative tasks.
Executive Assistance
Assist the CEO and Program Director with daily administrative tasks
Manage multiple calendars, coordinate programs/events, and handle travel arrangements
Office Management
Pick up mail daily and distribute to appropriate parties
Order office supplies and ensure that supplies are at the proper levels
Report any building maintenance issues to the building manager
Oversee new hire office set up (desk/equipment/supplies)
Direct phone calls
Greet and direct visitors
Email general office messages to staff (holidays/special events, etc…)
Respond/distribute general web inquiries
Ensure postage machine has adequate funds
Stock FedEx/UPS/USPS supplies and boxes
Report computer and phone maintenance issues
Maintain paper, toner, and other office materials for all equipment in the office. Make sure that the office equipment is working properly
Order, prepare and oversee food orders for office meetings
Help book conference rooms and help facilitate IT issues
Ensure that the office is locked and secured at the end of each night
Inform all delivery services of office closure (holidays) in advance
Assist with administration department (if needed), and other departments if time allows
And support with other office items as needed
Qualifications
Minimum three years of office management experience and providing team administrative support
Excellent organizational skills, comfortable at multi-tasking
Must be able to handle and prioritize multiple tasks simultaneously in a fast paced start-up environment
Excellent communication skills and ability to engage with empathy
A willingness to make mistakes, fail and move forward with humility and integrity
Experience with Google Apps Preferred
Ability to look at situations from several points of view
