Organization Overview

Girls on the Run of the Bay Area is a nonprofit after-school program serving girls in the 3rd-8th grades in the counties of Alameda, Contra Costa, Marin, San Francisco, and San Mateo. Our mission is to inspire girls to be joyful, healthy, and confident using a fun, experience-based curriculum which creatively integrates running. We emphasize serving low and middle-income girls with few alternatives for constructive, educational activities. Girls on the Run of the Bay Area is a 501(c)(3) nonprofit and an Independent Council of Girls on the Run International.

Girls on the Run is a small organization, with a current full-time staff of four. We pride ourselves on being friendly, flexible, efficient multi-taskers. Our office is casual and fun and we are located in San Francisco’s Mission District, convenient to BART, several bus lines, and much of the best food the Bay Area has to offer. Though our staff is small, our location in the Women’s Building means we are surrounded by other like-minded non-profits. We are very hard-working and our office is fast-paced, but we work to nurture the physical and emotional health of our employees, and encourage the balanced, healthy lifestyle that we teach the girls in our programs. We actively seek candidates who reflect the diversity of our participants and who will be role models for our youth.

Position Summary

We are looking for a person who is comfortable with lots of operations management and email organizing/ communication, as well as significant time spent public speaking and training volunteers. A very special person, indeed! This Program Assistant will be responsible for driving day-to-day program operations and will be a critical part of our team achieving a goal of expanding the program by 15-20% each year.

The Program Assistant is responsible for program administration, volunteer management, and general organizational support. Reporting directly to the Program Director, the Program Assistant position is 20 hours/ week. The Program Assistant position provides opportunity for significant operational management experience in a well-regarded fast-growing entrepreneurial non-profit. The key responsibilities of the Program Assistant include, but are not limited to:

Program and Volunteer Management

Recruit and place volunteer coaches, ensuring that all sites are staffed with qualified volunteer coaches
Represent Girls on the Run at outreach and networking events

Co-facilitate the pre-season coach training, along with the rest of the staff
Conduct site visits in which you participate in the discussion and workout and provide constructive feedback to the volunteer coaches
Purchase and coordinate the preparation and distribution of materials for our 70+ sites
Enforce all current policies and procedures for volunteers and participants

General Administration

Provide outstanding service and support to a high volume of calls and emails from volunteers, participants, donors, and other partners
Receive and track information accurately in our database, including requirements for volunteers and payments/scholarships for our programs and girls

Work with staff to generate and execute continuous improvements as needed in all facets of our operations

Qualifications

Passion for the mission of Girls on the Run and the ability to effectively communicate issues surrounding empowerment, self-esteem and health
Attention to detail and proven success managing logistics without errors
Demonstrated ability to meet project deadlines
Ability to multitask, prioritize and make efficient decisions
Outstanding written and oral communication skills in multiple environments and with a range of audiences
Self-starting with interest in taking initiative and finding new, more effective, ways to approach tasks
Knowledge of Word, Excel, social media, and Google Docs
Flexible, adaptive and a collaborative team member
Occasional evening and weekend work is non-negotiable: staff are needed on a few specific Saturdays during the school year for coach training and our semi-annual 5k
Valid Driver’s License
