PROGRAM ASSISTANT
POSITION DESCRIPTION
Position Title: REMHDCOProgram Assistant
Employment Status: Full Time Exempt
Compensation: Salary commensurate with experience plus health, dental, vision, retirement and paid parking
Provide program-specific and general office support; includes extensive meeting support, grant support, and working with other program and administrative staff to accomplish routine office tasks. Includes some travel and interaction with range of mental health providers, consumers, and multicultural communities.
Responsibilities
REMHDCO Support
Make all arrangements for meetings for REMHDCO and California Mental Health Services Act (MHSA) Multicultural Coalition (CMMC), including conference calls
For all meetings and calls, take minutes and submit drafts to Program Director; distribute when final
Compile and assemble meeting materials
Send group distribution emails
Manage calendar for REMHDCO and CMMC
Manage electronic files
Create and maintain paper filing system
Arrange travel as needed for staff and meeting participants
Attend meetings and provide logistical support
Grant Funded Projects
Assisting with preparation of deliverables to be submitted to grantor
Support budgeting and reporting activities for grant
General Office Support
Distribute mail and faxes
Answer phones
Copying/faxing
Assist with assembly of meeting materials
Maintain kitchen area and supplies
Open/close the office
Other duties as assigned
Education
High School Diploma or equivalent
Course work in business practices, computer software- postsecondary preferred
Experience and Knowledge
2 years experience working in office setting with increasingly complex set of responsibilities and level of independence
Prefer fast-paced environment in government or non-profit setting
Familiarity with grant-funded projects preferred
Experience working in multicultural environment
Skills and Abilities
Advanced user of MS Outlook
Intermediate to advanced Word, Excel, PowerPoint;
Beginner Access user
Able to navigate the Internet effectively
Strong editing and writing skills
Strong attention to detail
Experience working with multicultural communities
Work effectively and comfortably with a range of government, agency and community personnel as well as with mental health consumers
Ability to plan meetings and negotiate with meeting venues and vendors
Strong time management skills
Organized and able to manage large volumes of documents
Comfortable working in team environment and doing whatever it takes to accomplish the mission
Able to work independently and proactively Good interpersonal skills
Ability to exercise tact and diplomacy Good problem solving skills
Able to gracefully manage competing priorities
