JOB DESCRIPTION
POSITION: Provider Services Program Assistant
POSITION PURPOSE: The Program Assistant is responsible for providing support, organization and coordination for the Provider Services Team.
NATURE AND SCOPE: The Program Assistant is a member of the Provider Services Team and reports to a Provider Services Supervisor. This position will work collaboratively with Managers, TA Specialists and other Program Assistants of the current grant-funded projects in Provider Services to ensure that overall team and specific project needs are met.
RESPONSIBILITIES: Specific responsibilities of the Program Assistant include, but may not be limited to:
Provide administrative support to Managers as needed; this may include arranging meetings, formatting or drafting documents, organization support, developing or organizing materials, etc.
Enter and organize data regarding clients and caseloads
Support program staff as clients move from enrollment to caseload
Support clients in person and on the phone; assist with technology as well as basic child care licensing needs
Assist with mailings and other communication to providers participating in grant-funded projects
Intake of enrollment documents and organization of filing system to track provider participants.
Intake of registration for events, including trainings, orientations etc for provider participants and consultants participating in the grant-funded projects
Process and coordinate all aspects of ordering and managing requisitions for assigned grant funded projects
Assist the team with monitoring ETO database entries, ensuring adequate documentation is being entered by coaches
Assist team with data entry of participant activities into CCRData and ELN databases
Provide support to meetings for grant-funded projects, including arranging logistics (space, food, fliers) and taking minutes when requested.
Support general registration and other logistics for provider trainings and conferences
Respond to general inquires about CCR and Provider Services in person and from providers using the Provider Services Warm line.
Refer providers to Resource Specialists for appropriate TA/TR services
Support providers using the provider resource area
Provide support to the team in the maintaining of the provider resource area and library
Cover the front desk as assigned by the Office Administrator
Other duties as assigned.
POSITION REQUIREMENTS: Minimum requirements include at least 2 years relevant experience. An AA or above preferred. Additional expectations include:
Excellent external and internal customer service skills
Excellent office administration skills, including the ability to organize and meet deadlines
Strong knowledge of computer software, especially Office 2007 (Word, Excel, Access, PowerPoint and Outlook)
Proven ability to accurately enter data into computer software; experience with Efforts to Outcomes (ETO) database a plus
Ability to work independently
Excellent written and verbal communication skills
Strong problem solving skills and flexibility
Ability to juggle multiple tasks for multiple people
Proven ability to work in a team environment
Demonstrated commitment to diversity, cultural relevancy, and inclusion is required
Ability to lift 30lbs
Desired Qualifications Include:
Native language speaking abilities in Spanish and/or Somali languages.
Knowledge of early learning and Washington State Licensing Requirements
Familiarity with Early Achievers
SALARY AND HIRING DETAILS
Hiring Salary $31,200-$38,035.
Salary depends on ability to meet or exceed the above desired employment criteria.
