Part Time Hourly Office Assistant City of Walnut Creek Civic Arts Education POSITION DESCRIPTION:

Civic Arts Education (CAE), a division of Arts, Recreation and Community Services at the City of Walnut Creek, is seeking a part time Office Assistant. The Office Assistant will support the activities of the Civic Arts administrative team.

The Office Assistant reports to the Civic Arts Education Office Specialist at our Shadelands Art Center. This is 15-20 hour per week position, with a five day per week schedule during morning business hours.

Civic Arts Education Program

Civic Arts Education (CAE) is Northern California’s largest community arts education program, serving over 8,000 students annually in the areas of visual arts, dance, music and theater at locations throughout the city. Civic Arts Education is a program of the Arts, Recreation and Community Services Department of the City of Walnut Creek.

Representative Duties Customer Service

Provide excellent customer service for Civic Arts program users in person and over the phone
Register program users for classes using our registration system
Provide registration assistance to the Civic Arts preschools registrar
Process refunds and other specialized registration services
Knowledgeably answer questions about Civic Arts preschools, arts and recreation class options, and policies
Direct program users to program information and class locations
Support community events at Civic Arts as needed

Office Support

Field general requests and direct them to the appropriate person
Make copies
Run reports using Civic Arts’ registration system
Book and set up rooms for meetings, events and classes
Use Civic Arts’ email list to send mass email communications
Other duties as assigned

Facility Coordination

Provide access to studios and classrooms
Monitor public areas to ensure a well-maintained facility
Restock program materials
Respond to supply and maintenance needs
Provide direction to Building Attendants as needed

Qualifications

• At least one year experience performing similar administrative functions, preferably at an arts, nonprofit, education or government organization

• Proficiency in Microsoft Office, familiarity with Google and mass mailing apps; high level of skill at picking up new technology skills

• Strong written and verbal communication skills

• Strong attention to detail and problem solving skills

• Excellent teamwork skills

• Ability to prioritize multiple tasks and work to deadlines

• A high school diploma or greater, with related coursework preferred

• At least one year experience providing quality customer service

Hourly rate: $15 per hour with limited benefits.
