Definition:

The Receptionist/Administrative Assistant is essential to smooth functioning of day to day operations. In addition to the responsibilities listed below, the Receptionist is the first person that parents and visitors encounter upon entering our facility. Our receptionists have a profound impact on the perception outsiders have of our organization.

The position is responsible for relaying incoming telephone calls, greeting visitors in a professional manner and performing various administrative duties.

Position Responsibilities

Receptionist:

Answer multi-line telephone system, take accurate messages and transfer telephone calls to the appropriate person in an efficient manner
Greet and screen incoming visitors in a professional manner and promptly notify appropriate person of their arrival

Program Support:

Data entry for program/class attendance
Reminder phone calls to parents
Collect and post fees in database

General Administration Support:

Screen and sort incoming mail on a daily basis, and prepare outgoing mail
Receive and sign for packages
Log incoming donations
Support other department and perform other related duties or special projects as assigned
Monitor use of various meeting spaces in Microsoft Outlook

Skills:

Bilingual in Spanish and English, fluently speak, read, and write both languages
Oral communication skills

Computer skills, knowledge of Microsoft Work, Outlook, Excel, PowerPoint
Multi-Cultural sensitivity

Education/Experience:

High school diploma or general education degree (GED); and one year related experience and/or training; or equivalent combination of education and experience.

Certificates and Licenses:

Valid Driver’s License

To perform this job the individual must be able to carry out all essential functions satisfactory. Reasonable accommodations may be made to enable qualified individual with disabilities to perform the essential functions of the job.

Approximately 50% of time is spent sitting, using computer monitor and keyboard, with manual dexterity. Also, frequently required to walk, stand and bend. Must be able to talk and hear well. Good vision is imperative. Occasionally required to stoop, kneel, crouch or crawl. Employee will be required to lift and/or move unassisted up to 25 pounds.
