Special Assistant to the CEO – LaPlaca Cohen – New York City, NY

We are looking for a Special Assistant to the CEO to become an integral resource for our CEO, and a crucial member of our firm.

RESPONSIBILITIES:

Coordinate CEO business and personal travel, book travel arrangements; coordinate schedules (meetings, site visits, lunches, dinners, etc); prepare itineraries, and travel and expense reports.
Coordinate CEO and company calendar and meetings including scheduling with all parties; arranging call-in numbers; organizing meeting facilities; sending meeting confirmation emails; preparing and distributing agenda, attendee list and meeting materials; setting up the meeting (when onsite); and creating dossiers for events/meetings.
Assist with staff business travel; book travel arrangements; coordinate out-of-town meeting schedules; and prepare itinerary, travel, and expense reports.
Initiate and manage a new CRM strategy for the firm.
Conduct research related to CEO’s presentations and lectures.
Keep track of client news, and search for relevant RFPs.
Manage firm social media activities.
Provide general assistance to all departments (meeting coordination, project administration, research, etc.).
Act as first backup for reception.
Maintain and order office and kitchen supplies.
Maintain a list of proposed annual conferences, and organize logistics relating to upcoming conferences.
Manage applications for awards for select design and advertising projects.
Manage client holiday gifts.

REQUIREMENTS:

1-2 years of related full-time work experience (prior experience supporting director or other high level executives preferred).
Exceptional professionalism, organization, time-management, client management, research, communications, and writing skills.
Ability to manage simultaneous tasks in a fast-paced environment.
Ability to handle sensitive and confidential situations with discretion, tact, and diplomacy.
Dedication to and passion for the cultural and creative world.
B.A. required.
Proficiency in Google Calendar preferred.
Fluency in travel coordination required.
Experience with CRM strategy a plus.
Experience with social media strategy (Twitter, Instagram, etc.) a plus.
