Administrative Assistant – The Unusual Suspects Theatre Company – Los Angeles, CA

The Administrative Assistant is a part time position that provides administrative and logistical support to Unusual Suspects general office and administrative spaces. Must be independent, focused, and self-directed, while also very detail oriented. They must be able to identify needs, conceptualize how to meet these needs, and make it happen in a timely manner, while also attending to the daily needs within the office. The Admin Assistant also assists the Executive Director within their daily duties as needed. They will manage multiple projects, executing low- and mid-level aspects of these projects. Position reports to the Operations Manager.

Duties and Responsibilities:

Perform daily clerical and general office tasks such as answering phone calls, responding to email, opening mail, and upkeep of the office, kitchen, conference rooms and storage areas.
Maintain organized hard-copy binders for programs, executive office and operations.
Prepare all binder documents and backpack supplies for program’s pre-planning meetings.
Compile hardcopy scripts in black binders and collect bios to include in playbill.
Assist Operations Manager with routine office supply ordering, making bank deposits, filing, post office trips and overall office support.
Research competitive prices, document, and order supplies for both offices and specific programs.
Survey staff to schedule and organize trainings, meetings, and wellness activities.
Assist in the development of general documents to create office management procedures.
Collect information from partners and staff and assist with human resources paperwork collection.
Assist in the job recruitment postings and prepare documents for interviews.
Offers administrative support and participates in various events and activities as needed.
Assists the Executive Director with any office related tasks as needed.
Work closely with the Operations Manager providing office, technical and program support.
Assists in the planning and running of small and large program and fundraising events to include scheduling travel, working with contractors and duties during events.
Answer phones, schedule meetings and workshops, direct, volunteers, funders, youth and their families to assigned personnel.
Prepare and submit program related requests, subscriptions, expense reports and other related internal documentation.
Other duties as assigned

Desirable Skills & Qualifications:

Must have a HS diploma. BA degree is preferred.
Working experience in a similar role and willingness to learn.
Work well with people in various communities, institutional and governmental organizations.
Cultural competency to work with individuals from diverse backgrounds.
Work with diverse set of community-based organizations, residents and stakeholders.
Foster open communication within and among diverse groups.
Work in a team environment with minimal supervision.
Some experience in community organizing is helpful, team building and group dynamics.
Experience in meeting facilitation, and/or community relations.
Ability to work independently, be flexible, and manage multiple priorities.
Work well in a team-oriented environment and maintain harmonious relationships.
Some knowledge of the Los Angeles City/County/State political and policy process.
Proficient computer skills, especially using Microsoft Suite and Google Suite of applications.
Detail-oriented with excellent communication, organizational, interpersonal and writing skills.
Experience with public speaking and presentations.
Must have reliable transportation and be able to drive a car and have appropriate auto insurance coverage, and a valid California Driver’s license.
English/Spanish bilingual preferred

Physical Requirements & Work Environment:

Must be able to drive a motor vehicle. Must be able to lift 30 pounds. Must be flexible working in a fastpaced, non-profit environment. Experience or interest in theatre and youth arts education is a plus. This position works at the US administrative office, but must be willing to use personal equipment such as cell phone and laptop/tablet if working remotely.

Salary & Schedule:

$10 – $15 hourly. Commensurate with experience.
Non-exempt position.
Position is projected to work 15-20 hours weekly. Candidate must be open to work a flexible schedule, including some evenings and weekends.
