Job Objective
The Administrative Assistant is responsible for providing general support to the Oakland office.
Position Overview
The Administrative Assistant will provide logistical support necessary to ensure the smooth running of the Thrive Networks office. The position will assist the executive team and other staff with administrative and office management tasks.
Duties & Responsibilities
The Administrative Assistant will have the following responsibilities:
Answer the phone, process incoming mail, and greet visitors
Assist CEO with travel arrangements, including ticketing, itineraries, and visa applications
Perform data entry to donor management database
Track and order office supplies
Coordinate Board of Directors’ meetings and materials
Effectively manage conference room/conference line availability and scheduling
Coordinate catering and other needs for office meetings
Compile and mail informational materials
Assist with event preparation and coordination
Provide general administrative support, including copying, scanning, and filing
Update office materials and documents as needed
Perform additional duties as assigned
Some local travel and weekend work required
Desired Qualifications (not all candidates will have all of these):
Bachelor’s degree (preferred)
At least two years office support experience required
Excellent communication skills, both written and verbal
Excellent interpersonal skills
Ability to think creatively and solve problems
Attention to detail, diligence, and persistence
Ability to work well independently and in a team environment
Proficient with Microsoft Office including Outlook, Word, Excel
Ability to manage multiple projects, prioritize, and meet deadlines in a fast-paced environment
