The mission of The Pablove Foundation is to invest in underfunded, cutting-edge pediatric cancer research, inspire cancer families through education, and improve the lives of children living with cancer through the arts.
The Database and Development Coordinator reports to the VP of Development & Communications. This position is the primary database administrator and is responsible for all data entry and reporting. Candidate should be confident with setting and enforcing database policies, conducting staff training, and creating strategies to support fundraising functions across the department. In addition, the coordinator works closely with and provides overall administrative support to the President/CEO to include supporting the Board of Directors.
Candidate must be a self starter while working well with a diverse team in a collaborative environment. Strong organizational skills with significant attention to detail are a must in addition to superior communication and writing skills. Primary Responsibilities
Manage the donor database (DonorPro) by keeping all data clean, organized, and updated by following set data entry protocols, expanding notes, removing duplicates, and tracking individual relationships, mailings, and event attendance
Conduct all staff training for DonorPro.
Process all donations: entering all gifts into Donor Pro, transmitting payments and payment information to accounting, generating and distributing a weekly transaction report, and completing acknowledgement letters.
Prepare direct mail appeals and acknowledgement letters including handwritten thank you notes for donors and notifications for memorial donations, ensuring that all correspondence is accurate and sent in a timely manner.
Track and invoice pledges and other special gifts.
Prepare all mailing lists from DonorPro.
Coordinate in-kind gifts including fielding calls, entering data, and completing acknowledgements.
Provide support for fundraising events.
Provide daily support for the President/CEO by managing calendars, communicating daily appointments, overseeing travel and accommodations, anticipating needs in preparation for meetings and travel, and reconciling expenses.
Support the President/CEO with the Board of Directors, including weekly Board email updates, scheduling quarterly meetings, preparing meeting packets, attending meetings, prospect research, and taking minutes.
Provide support to the VP of Development & Communications as needed.
Prepare and edit correspondence, reports, and presentations.
Manage projects and conduct research for President/CEO and the Board of Directors.
Handle general phone and email inquiries that relate to fundraising.
Maintain donor prospect list and materials for Board of Directors.
Serve as liaison with internal staff at all levels.

Working knowledge of computers and software including, but not limited to: Microsoft Word, Excel, electronic calendaring, and email

Education and Experience
Bachelor’s degree or equivalent experience
Two years of database and executive administrative support experience
Proficient computer skills and advanced knowledge of relevant software such as Google Calendar, Google Docs, MS Office Suite
Knowledge of standard office administrative practices and procedures
