Office Coordinator – Foundation for Tacoma Students – Tacoma, WA

Job Description & Background

The Foundation for Tacoma Students seeks a temporary Office Coordinator to work closely with the Foundation staff team to maintain smooth office functions for the Foundation and the Graduate Tacoma! movement. If you have strong organizational skills and the ability to maintain daily office operations, we are looking for you!

The Foundation for Tacoma Students is the nonprofit backbone organization that supports, organizes, coordinates and catalyzes the community-wide Graduate Tacoma! movement, urging action from everyone in the community—educators, parents, students, early learning and higher education, elected officials, business and labor, community service and youth organizations, non-profits and philanthropy and communities of faith—to help improve student achievement and success in Tacoma.

Our community Goal:

“By the Class of 2020, WE WILL increase by 50% both the graduation rate of Tacoma Public Schools students and those who complete a college degree or technical certificate. Success will require measuring and closing gaps in access, opportunities, and achievement for all students from cradle to college and career.”

Examples of responsibilities:

Represent the Foundation for Tacoma Students as the first point of contact at the front desk and on the phone.
Keep the reception area and meeting spaces well stocked and clean.
Present a professional image of the organization.
Schedule appointments for the President & CEO.
Maintain the schedule for various meeting spaces.
Record meeting minutes accurately.
Looking after the office supply inventory, and restocking items as needed.
Maintain important office records ensuring ease of future reference.
Coordinate the functions of different departments of the organization to ensure smooth operation of office business.
Manage incoming and outgoing mail.
Manage financial records, paying bills and maintain receipts, reimbursing employees, keeping payroll records updated, and managing employee benefits.
Minimal support for event management.
Board member and executive leadership support as needed.
Other duties as assigned.

Qualifications:

A minimum of two years’ experience working in a front office.
Knowledge of computer operating system tools is important.
Familiarity with Excel, PowerPoint, and Google Business Apps.
Commitment to the Graduate Tacoma’s 2020 goal.
Familiarity with Tacoma a plus.
Commitment to social justice.
Team player essential: ability to work as part of a team with people from a variety of different racial, ethnic, socioeconomic, educational, religious, sexual, gender, and generational backgrounds.
