ABOUT WESTERN RIVERS CONSERVANCY
Western Rivers Conservancy protects outstanding river ecosystems in the western United States through land acquisition. We acquire land along river corridors to conserve critical habitat, provide public access for compatible use and enjoyment, and cooperate with other agencies and organizations to secure the health of whole ecosystems.
Since its inception in 1988, Western Rivers Conservancy has protected critical riverlands along more than 48 rivers and streams around the West including the Hoh, John Day, Gunnison, Yampa and Klamath. POSITION SUMMARY
The Office & Database Manager (ODM) is a newly created position that plays an essential role at Western Rivers Conservancy. The position ensures that WRC’s office environment runs smoothly and effectively while also providing critical support to the development department. The position reports to the Director of Finance & Administration and is based in Portland, Oregon.
Specific job responsibilities include:
Office Management
The ODM ensures the efficient day-to-day operations of WRC’s offices.
Serves as liaison with IT consultants, working with them to troubleshoot problems and keep workstations, phones and other equipment running smoothly.
Purchases and maintains office equipment, furniture and software.
Processes mail and keeps office supplies stocked and organized.
Serves as primary phone receptionist; ensures phone reception is covered during business hours.
Assists with internal controls and bookkeeping.
Ensures that office facilities are kept secure, clean and professional-looking.
Coordinates meeting logistics, runs errands and performs other administrative duties as necessary.
Database Management and Donor Communications
The ODM is responsible for maintaining the donor database and other tracking systems used by the development department.
Maintains WRC’s online Salesforce database.
In coordination with other development staff, maintains customized major gift, foundation and corporate tracking.
Prepares fundraising progress reports and mailing lists.
Prepares direct mailings for the purpose of recruiting and retaining small donors (under $250). This includes new donor solicitations, renewals, special appeals and other mailings.
Prepares donor acknowledgment letters.
Responds to inquiries, electronic or otherwise, from prospective donors and members of the public.
Event Coordination
The ODM is responsible for coordinating Board meetings and other WRC-sponsored events. This includes planning and budgeting, event logistics and execution.
Plans and coordinates WRC Board meetings, annual open house and related events.
Plans and coordinates WRC’s annual river trip.
POSITION REQUIREMENTS
A successful Office & Database Manager candidate will likely have:
At least three years’ relevant experience;
Strong communication skills, both oral and written;
Demonstrated proficiency with Salesforce, preferably the Nonprofit Starter Pack;
A solutions-oriented mindset with strong attention to detail;
Flexibility and ability to manage diverse tasks;
Experience planning and coordinating events;
Tact, excellent judgment and an upbeat attitude in office reception;
Demonstrated commitment to river conservation.
