Program Specialist – Jewish Community Foundation of Los Angeles

Position Summary

The Program Specialist supports the activities of Program staff, coordinating donor support and grant-making objectives with other Foundation departments, grantees, donor and community constituents.

Position Responsibilities

Assists the grant-making process, including preparing and tracking correspondence, proposals, grant documents, grant reports and payments.
Assist with research and proposal analysis regarding eligibility and completeness during the grant application review process.
Support Program staff in monitoring progress of various institutional and Center client grant programs, including creation and modification of grants and constituent database records and queries (using Raiser’s Edge and GrantedGE), developing statistical reports of grants and client data, handling correspondence with grantees, preparing and collating meeting materials, and coordinating with board committees and other Foundation staff on grant-related issues.
Synchronize grant files with grants and constituent databases, ensuring grant activities are logged in both paper and electronic versions. File and scan documents per department protocols, and actively participate in developing and communicating protocols as needed.
Schedule logistical and technology details for Program staff for Board and client committee meetings and special events, including refreshments, participant RSVPs, meeting materials, room arrangements and media requirements.
Support Program staff in calendaring of internal and external meetings, liaising with building security and greeting guests.
Respond to inquiries into Foundation grant programs by describing relevant program details, instructions for application, or available community resources.
Communicate with grantees and Foundation accounting staff to ensure proper handling of distributions, audit and check replacement requests.
Scan, sort and process departmental mail.
Assist Foundation support staff with telephone coverage and administrative duties as needed.
Perform special projects as assigned.

Required Qualifications

Experiencewith data entry in a vendor, donor or grants database
Demonstrated proficiency in Microsoft XP, Office (particularly Excel, Outlook and Word), and the Internet
Strong typing skills (50+ WPM)
Strong interpersonal and communication skills
Excellent time management and organizational skills, with the ability to work effectively under supervision, independently and in a team environment
Experience working with confidential and sensitive information
Ability to manage multiple,time-sensitive priorities, flexible to changing directives
Highly organized with attention to accuracy of detail
Demonstrated ability to take the initiative to seek out and resolve problems through interpersonal skills
Bachelor’s Degree or equivalent experience
Three to five years of experience in a support role
