Administrative Asst / Education / Outreach Coord – Peninsula Symphony – Los Altos, CA

Peninsula Symphony of Northern California, entering its 67th Season, is hiring an Administrative Assistant/Education & Outreach Coordinator. This position will work closely with the Operations Manager, Managing Director, and Board of Directors to support many of the day-to-day operations of the Symphony. The right candidate should be extremely friendly, self-motivated, tech-savvy and ideally have a great passion for symphonic music.

Specific responsibilities include:

Administrative Assistant:

-Acting as the point person for in-house Box Office, taking a limited number of phone orders for tickets and subscriptions, reconciling daily online sales and preparing and updating reports on ticket sales;

-Overseeing front-of-house at Symphony concerts, including Box Office and/or Will-Call and the oversight of volunteers and/or interns;

-Preparing invoices for approval, then preparing checks for signature and distribution;

-Supporting marketing efforts as needed, including pulling reports and data lists, and being an active participant of the Symphony’s Marketing Committee;

-Keeping the Symphony’s social media accounts and website updated as needed;

-Issuing gift certificates and vouchers as directed in response to requests from other organizations, and maintaining a log of such;

-Preparing donation acknowledgement letters and receipts, and maintaining a log of donations received;

-Ensuring smooth operation of the Symphony office, including maintaining office supplies, ensuring office equipment is functional, making sure general office e-mails and phone calls are answered in a timely fashion, etc.

-Otherwise supporting the Operations Manager and Managing Director as needed.

Education/Outreach Coordinator:

-Overseeing in-school assembly performances by chamber groups, including scheduling, coordinating all logistics, and maintaining a presence at assemblies as needed;

-Coordinating two youth competitions each season, including getting publicity and application materials to teachers and students, coordinating location and judges, and handling all logistics;

-Assisting in production and logistics for two free family-oriented concerts each season;

-Providing requested data and reporting for grant applications as needed;

-Acting as the staff liaison to the Board Education Committee;

-Actively working to develop and expand the programs beyond their current reach.

Excellent computer skills a must, including Office suite and social media platforms; experience with WordPress, Photoshop, InDesign, QuickBooks helpful, but willingness to learn is a must.

This is a part-time (25-30 hours/week) position, mainly Monday-Friday mid-morning to mid-afternoon (with some flexibility therein), but also requires attendance at 12 concerts each season (most are on Friday or Saturday evenings), and may require attendance at a handful of other events during the year. Reports to Operations Manager. The ideal candidate will be able to start mid to late July. Salary DOE.
