Position: Course Admissions Specialist (Full-Time)
Reports to: Director of Educational Services
Work Hours: 9:00 AM – 5:00 PM, M-F
Classification: Hourly, Non-exempt
Compensation: Base salary DOE plus generous benefits package
Mindful Schools, a worldwide leader in training educators in mindfulness and how to bring it into their work with youth, is looking for a Course Admissions Specialist to support our participants and internal team.
We’re looking for someone with fantastic interpersonal skills who can brilliantly multi-task in a high volume, fast paced environment. You should be a quick learner with exceptional organizational skills and follow-through. You interact professionally and compassionately with ease, are passionate about your work (and it shows!), and you’re a great listener.
This is a full-time employee position at our Emeryville, CA office. Full-time employees receive a complete benefits package, including 4 weeks of vacation annually as well as 2 weeks of retreat time. The candidate should not be interested in any teaching positions at Mindful Schools.
Key Responsibilities
Customer Service (60%)
Provide outstanding service and support to a high volume of calls and emails from individuals, schools, groups and affiliated professionals.
Handle course registrations from initial inquiry to course completion.
Fulfill requests for course and marketing materials.
Manage course billing inquiries, registrations, payment plans, and scholarships.
Course Management (20%)
Set up, maintain and update all aspects of online course offerings.
Monitor and track course completion across multiple training offerings; monitor and track course evaluations, where appropriate
Handle scheduling of Mindful Schools courses and special events.
Coordinate the training calendar and logistics for training delivery such as scheduling workshops, supporting material preparation, managing the participant list, and monitoring the training team mailbox
Find venues and manage logistics for in-person courses.
General Administration (20%)
Update and maintain accurate records in the salesforce CRM
Work with Director on special projects as needed.
Experience/Qualifications
5+ years with, and passion for, providing quality customer service
Extensive experience with CRM systems (particularly SalesForce)
Strong experience with Microsoft Office, particularly Word, Excel, and PowerPoint
Experience with mailing systems like Constant Contact or MailChimp
Outstanding organizational and task-tracking skills
Excellent teamwork and communication, both internal and external
Expert problem solving skills
Experience with online Learning Management Systems (particularly Moodle) is a plus
Strong experience with Gmail and Google Docs is a plus
A personal mindfulness practice is a plus
