Summary:Support the Foundation’s work to provide book and product grants to schools and community-based organizations, including operations and fulfillment functions.
Essential Duties and Responsibilities
Support the day-to-day work of the Grants Team to ensure a seamless process for grantees through application, fulfillment and billing processes.
Promptly and professionally resolve and respond to queries (email, phone, in-person) from grant applicants to help improve their grant applications, troubleshoot issues, coordinate logistics, and/or solicit feedback.
Maintain frequent communication with grantees via telephone and email, including securing necessary information to move their grant request through internal processes, coordinate logistics, provide timely notifications, etc.
Update, track and record information in databases and contact management systems related to grant requests, invoices, inquiries, and other pieces of information. Keep up-to-date, and accurate, grant files including coordinating and obtaining documentation from other departments or key stakeholders.
Track books, invoices, payments and other items for specific partner groups and/or part of specific campaigns.
Review grant applications to ensure their organization meets requirements and complies with rules, regulations and expectations.
Support grant fulfillment which may include researching inventory, coordinating with shippers and warehouses, and/or on-site picking, packing, staging, loading, unloading and delivering of inventory. This may include driving, loading and unloading fleet vehicles as necessary.
As necessary, support and manage volunteers at book distribution sites to safely and accurately pick, stage, distribute and record grant inventory.
Attend and staff events as necessary, including overnight/out of area travel to book distribution or other events.
Performs other duties as assigned.
Knowledge, Skills and Abilities
Required:
Superior customer service orientation, experience working with diverse groups of clientele/customers.
Excellent written and verbal communication skills, including professional experience presenting, writing, and working with stakeholders/clients over the phone.
Strict attention to detail, especially related to counting and recording numbers, figures, contact information, and other important data.
Comfort with data collection, analysis and reporting.
Mission focused and a team player.
Able to perform quality work under tight deadlines and manage projects independently. Strong organizational and time management skills.
Able to safely operate hand tools and mechanical equipment as needed.
Able to use Microsoft Word, Excel and PowerPoint. Comfortable learning new software.
Evening or weekend work will be required, including occasional out of the area and overnight travel.

Ability to abide by Foundation policies, maintain attendance to support required quantity and quality of work, and establish and maintain positive and effective working relationships with co-workers, community organizations, volunteers, donors and others.
Preferred:
Bilingual in Spanish, strongly preferred
Basic understanding of children’s literature and/or literacy teaching techniques.
Working knowledge of database, constituent relations, and/or inventory management programs.
Qualifications
Required:
Bachelor’s degree, or equivalent experience
2 or more years experience in office environment in areas such as customer service, sales, grants management, or constituent relations.
Valid driver’s license
Preferred:
Demonstrated experience working or volunteering in the nonprofit, government, health or education sectors, and/or working closely with low-income communities. Experience as a volunteer, or working with volunteers.
Physical Demands
Lifting, squatting, carrying, bending, twisting, pushing, and pulling up to 40 lbs. as needed during work with logistics or book distributions.Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
