Job Description Overview
The foundation of this position is to ensure the smooth running of day-to-day operations at The Education Trust–West office and to support the office staff as needed. Through superb organization and project management skills, precise attention to detail and logistics, creative problem-solving, and exceptional communication skills, this role provides support in the key
functions of communication, administration, organizational support, and office management. The Operations Coordinator will report to the Director of Planning and Operations. The ideal candidate has a passion for improving the educational experiences and outcomes for low-income students and students of color, and an unwavering belief that these students could be much more successful if institutions better served them. Works well in a deadline-driven,
mission-focused, collaborative work culture.
Major Responsibilities
• Present a professional, welcoming first contact to visitors – by phone, in person, and email; coordinate incoming and outgoing mail, packages, and deliveries, including large-scale printing and shipping
• Responsible for development & implementation of efficient and effective office systems and infrastructure; liaise between ETW and building management company
• Coordinate maintenance of all office equipment with appropriate vendors; including maintaining supply of toner and ink for printers
• Providing basic IT support to staff, including maintaining technology inventory and serving as liaison with IT manager in national office and local IT consultant
• Manage financial and administrative paperwork, and oversee the flow of paperwork between ETW and the national office; including completing and submitting staff travel expense reimbursements and credit card reconciliations; preparation and tracking of weekly
invoices; oversight of timecard submission; assist in administering human resources and benefits paperwork
• Manage calendar and tracking system of events, travel and related purposes for activities and functions of ETW staff; includes travel planning and booking as necessary
• Maintain complete and up-to-date Operations files and trackers in soft and hard copy (to include A/P invoices, staff travel receipts, contracts, and supply vendor receipts, etc.)
• Maintain all common office areas including conference rooms, kitchen, storage and supply areas
• Provide organizational functions and general meeting support both on and off-site including ordering and procuring food, ensuring A/V needs are in place, cleanliness and orderliness of room
• Specialized support including collaborating with the External Relations team on key projects, back-up support for the Executive Director’s assistant, and special projects as assigned.
Qualifications & Experience
• One to two years of experience in an administrative support role preferred
• Passion for improving the educational experiences and outcomes for low-income students and students of color
• Self-starter mentality and ability to work independently with a strong attention to detail and commitment to excellence
• Refined prioritization and time management skills – able to switch gears, handle interruptions, and refocus back on planned work while meeting all deadlines
• Good interpersonal and customer service skills (courteous, professional, and helpful) are critical
• Ability as an attentive listener to ask clarifying questions and relay information accurately to others
• Highly dependable and punctual to open the office on weekday mornings
• Highly proficient computer skills (MS Office: Excel, Word, Power Point and Outlook)
• An optimistic outlook and a flexible, innovative nature
• Strong written and verbal communication skills
• Ability to lift approximately 15-20 pounds and comfortable with other physical activities such as carrying boxes, moving files etc
• Bachelor’s degree or high school diploma or equivalent along with previous professional experience in a similar support staff capacity
