Program Quality Coordinator – School’s Out Washington – Seattle, WA

Position Summary:

The Program Quality Coordinator works in conjunction with the Program Quality Director and the Statewide Program Quality Manager to support efforts throughout the Western Washington to promote quality, increase the use of quality assessment and improvement processes by programs and develop systems and tools to sustain quality improvement.

Reports to: School’s Out Washington Program Quality Director

Location: 801 23rd Avenue South, Seattle, Washington

RESPONSIBILITIES:

Program Quality Improvement Initiatives

Provide project management and coordination for Youth Program Quality (YPQ) services in King and Pierce County;
Manage assigned activities for quality cohorts in Western Washington using the Youth Program Quality Intervention, to include self- and external assessments, training, coaching, and learning community meetings;
Work in coordination with Program Quality Director and the Statewide Program Quality Manager to manage Program Quality External Assessment Process;
Coordinate the summer learning program quality interventions in Western Washington.

Quality Contract and Data Management

Support and implement systems with Statewide Program Quality Manager to manage contract data and fiscal information;
Serving as a liaison to designated AYD programs;
Oversee collection, management, and distribution of PQA data;
Develop and monitor sub-contracts to ensure compliance and accountability;
Collect and manage statewide program quality Form B data;
Reconcile activity reports from contractors and subcontractors.

Administrative Responsibilities

Monitor project revenue and expense items;
Complete documentation and reporting as required by funding sources.

Advancement of the Field

Develop and facilitate presentations at local conferences or learning community gatherings to disseminate lessons learned;
Keep abreast of emerging trends and newest research in quality improvement efforts across the country;
Strategize ways to implement new trends within the context of current and future work.

Communications

Design and create website and other social media content to ensure implementation of a diverse marketing plan;
Work with Database and Web Communications Coordinator to develop communication tools to inform and educate AYD providers, state agency leaders, policy makers and community partners on quality programs and activities. Tools may include e-newsletter articles, fact sheets, website postings and project brochures;
Write and/or solicit monthly newsletter articles for SOWA’s enews-letter;
Use technology—webinars, social networking, online groups—for sharing best practices among networks and building momentum for quality improvement efforts.

Assessments

Maintain annual reliability as an external assessor;
Be available to provide PQA external assessments as requested;

Personnel Management

Assure that volunteers/interns and On-Call Employees are treated with respect and dignity regardless of race, ethnic background, gender or socioeconomic background. Incorporate volunteers, where applicable, into program operations.

Participate in related project meetings and weekly staff meetings;
Serve as an ambassador to the organizations at all times both formally and informally;

Complete documentation and reporting as required by funding sources;
Write and/or solicit monthly newsletter articles for SOWA’s enews-letter;
Answer telephone, respond to requests for information and resources and make referrals to outside resources;
Perform other duties as assigned.

Qualifications and Competencies:

Bachelor’s degree required in public policy/administration, education, social work or similar field. Master’s degree preferred;
Knowledge of Youth Program Quality Standards and Core Competencies for Washington State Youth Development Professionals
Experience using or knowledge of Youth Program Quality Assessment (YPQA) or other youth development assessment tools;
At least 4 years’ management experience in the education or youth development sector;
Working knowledge of school-age/youth development, center based programs, and culturally relevant services;
Excellent oral and written communication skills;
Experience structuring one’s work to meet grant requirements and work independently and as part of a team;
Strong organizational and networking skills;
Comfort with using new media to connect stakeholders;
Ability to work independently and as part of a collaborative team;
Ability to work collaboratively with a variety of agencies and organizations;
Proficient in MS Word, Excel, PowerPoint, and database systems;
Experience working in and/or living in diverse communities preferred;
Must be able to independently travel between work-related appointments;
Requires flexibility in time requirements/constraints; may require some early morning, evening, weekend meetings, extensive local and some statewide travel and limited overnight stays;
