Scion Staffing, Inc. (www.scionstaffing.com), a full service national staffing firm, has been engaged to conduct a search for an Executive Assistant for our client, a San Francisco based Foundation focused on fundamental environmental and economic infrastructure issues in California. This is a wonderful opportunity to support two passionate and dedicated executives while also taking on special projects for the Foundation.
The Executive Assistant will report directly to the Foundation’s President and the International Project Manager. This is a full-time position for direct hire.
WHAT YOU’LL BE DOING:
Administrative and Executive Support Responsibilities:
Acting as gatekeeper for the President, answering questions and offering helpful information whenever possible, serving as an extension of the President and the Foundation.
Maintaining the President’s complex calendar, including arranging delicate appointments with bumper time, travel, and amenities. Expense reporting.
Screening and prioritization of the President’s mail, handling routine correspondence and requests as trust is built with the President.
Proofreading and editing various documents and presentations in line with branding and style guidelines.
Organizing and maintaining electronic and paper files including reports, lists, files and File Maker Pro database.
Coordinating on-site and off-site meetings, including logistics, catering and AV set up, coordination of speakers, liaising with internal team and external vendors as needed.
Overseeing the preparation and distribution of Board and committee meeting dockets, facilitate staff and board communication.
Assisting the President and the International Project Manager with the public policy and advocacy work of the foundation by drafting and tracking correspondence, phone calls, meetings, and lobbying activities and expenses as needed.
Ordering office supplies, stationery, business cards, kitchen supplies and manage inventories.
Opening and closing the office daily.
Providing additional support on professional and personal projects as they arise.
Special Projects Support:
Set up database for new conferences. Research and gather contact information for new and potential members.
Archiving and continuously improving the conference and study tour work process.
Sharing conference-related responsibilities including, but not limited to:
Generating invitations, acknowledgement letters and project documents
Maintaining participant lists and agendas
Office/conference mailings, production of conference and trip collateral materials
Maintaining master contact database, updating and organizing data
Archiving completed conference and trip materials
Obtaining equipment and materials for study travel projects.
Supporting the International Project Manager on any ad hoc requests, troubleshooting any unexpected situations as they arise during conferences and study travel projects.
WHAT YOU NEED TO BE SUCCESSFUL:
5+ years of experience supporting a c-level executive or leadership team, experience within a nonprofit or foundation environment highly preferred!
Poised and proactive professional adept at thriving in a constantly changing environment.
Detail-oriented, organized and responsive in-office anchor, can anticipate needs and constantly reprioritize workload.
Polished verbal and written communicator with a positive yet highly professional demeanor.
Engages work proactively and independently within given parameters; takes initiative.
Demonstrated project management capabilities.
Tech-savvy professional who is able to efficiently utilize, train and support others in the use of various office equipment including Microsoft Office Suite, File Maker Pro database, PC and Mac systems.
SALARY & BENEFITS:
