We are currently seeking a Meetings and Member Services Manager based in the Washington, D.C. area. The primary objective of this position is to manage all meetings and program events for the organization, as well oversee member services and database(s). Attention to detail and delivering exceptional customer service is vital. This role has significant interaction with members, member prospects and staff, and is often the first point of contact at the organization for new members.

Primary Duties and Responsibilities:
1. Membership / Member Services:
Inquiry responses:
Respond to requests for information concerning programs, publications and events and coordinate responses with relevant staff when needed
New member application and onboarding:
Assemble and distribute new member and prospective member packets by email
Ensure necessary materials and application fees are received from applicants and, with Executive Director, coordinate approval by the Board and notification to approved companies
Track sending and receipt of new member materials, including application fee and dues, as well as date and details of onboarding calls
Organize and maintain electronic membership files on the shared drive, with application, approval and other materials
Assist members with their logins for member sites and resources such as SharePoint and others and maintain the list of log ins for SharePoint. Deactivate users as necessary (when no longer with member companies).
Help schedule new member onboarding calls
Annual member dues invoicing:
Invoice members annually and follow up as needed to ensure dues are received in a timely fashion
Contact maintenance/list generation:
Manage and maintain membership database and public contacts in iMIS and Outlook; input new members and process changes to member records; generate reports such as prime contact and full member lists regularly and when requested; track member application, approval and transition to full member dates
Run rosters, exports, statistics and reports in various programs
Other:
Attend staff meetings and other relevant meetings
Assist in creation and deployment of membership surveys
Assist in organization of PowerPoint presentations
2. Meetings:
Assist with all aspects of logistical planning for Board meetings, committee meetings and conferences, including but not limited to: request for proposal generation, site selection, contract negotiation, transportation and translation service arrangements if necessary, invoice processing and note taking
Assist with preparation and production of meetings materials for Board of Directors meetings, committee meetings and conferences
Produce correspondence/communications for events, including speaker confirmation letters, speaker forms, registration acknowledgment and confirmation letters, and speaker thank you letters
Work closely with speakers to coordinate travel and hotel requirements, audiovisual requirements and meeting materials such as presentations and bios and help compile these into master files
Create and maintain database for events to house registration information and tabulate program evaluations (hardcopy and online), circulate feedback summaries to staff post event
Process meeting registrations and provide on-site assistance for key meetings
Other duties as assigned.
Requirements:
Bachelor’s Degree or equivalent experience; plus minimum three years related work experience in an association/office environment
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Database experience required (iMis preferred)
Ability and desire to learn additional computer programs
Some travel may be required
