Office Coordinator – Women In Film Los Angeles

The office coordinator is responsible for ensuring the smooth operation of the office and as well as providing admin support to the Executive Director.

Essential Duties & Responsibilities:

Communication

Greet visitors, answer phones and check/return voicemail.
Prepare reports for weekly staff meetings
Execute marketing/communications strategy to include weekly and special event e-mail messages and social media posts
Website: work with webmaster to create, edit and update articles, calendar listings, blog posts etc.

Office

Responsible for incoming and outgoing mail, shipping and receiving
Order and organize office supplies
Responsible for organizational functions and general meeting support including: arranging meetings, maintaining office space schedules, securing food and supplies, copying

Executive Director Support

Schedule meetings for Executive Director and maintain calendar
Other tasks as needed

Membership and General Contributions

Process new membership applications and renewals including: payment processing, payment tracking, collections and database entry.
Send thank you letters and tax letters to all members, board members and other donors
Respond to telephone and email queries regarding new and existing members
Coordinate membership tables at various events/venues
Oversee member RSVP and check in at events
Maintain member records to include phone, email, etc.

Qualifications:

Previous experience working (1 yr) as Administrative Support staff
Strong knowledge of MS Office Suite, Google Apps, PC and MAC proficiency preferred.
Excellent organizational and project management skills (detail oriented)
Excellent written and oral communication skills as well as computer literacy
Strong ability to work within a team environment.
Licensed driver with personal car (preferred)
Flexibility to work evenings for meetings and events.
