Temporary Operations Support Associate

Job Summary:
The Temporary Operations Support Associate (OSA) works closely with the Administrative Director to ensure the office infrastructure and systems function effectively and efficiently. In addition to day-to-day IT troubleshooting and maintenance, the OSA provides one-one-one and group user support to staff and volunteers. The OSA also provides administrative support to all NWIRP Units. Successful candidates must be able to handle a fast-paced, dynamic work environment and be detail-oriented. Bilingual Spanish-speaking applicants are given preference.
Essential Responsibilities:
Across our four offices in Seattle, Tacoma, Granger and Wenatchee, coordinate the maintenance of and user support for:
Computer systems
Network infrastructure
Phone systems
Copying/printing systems
Outgoing mail
Other miscellaneous communications or IT systems
Provide direct administrative support to staff across offices, including paper and electronic client file and database management, data entry and other important clerical tasks.
Create content for and provide updates to[[http:nwirp.org|nwirp.org]].
Provide backup and support for Seattle front desk/reception, interacting with immigrants from over 150 countries.
Monitor inventory and order/distribute office supplies for various offices.
Other duties may be assigned depending upon NWIRP’s needs and the skills or passions of the successful candidate.
Priorities:
Staff Seattle’s front desk and answer incoming phone calls
Provide help desk support
Google Apps and client database (LegalServer) administration
DACA administration (LegalServer & Google Docs)
Client files (Scan & upload to LegalServer, destroy, clean up basement storage space)
Website administration
Supplies monitoring & restocking
Materials distribution
Professional Qualifications, Experience, and Attributes:
Personal passion for immigrant rights with a belief in the mission and values of Northwest Immigrant Rights Project; comfortable working with diverse cultures.
Excellent customer service skills and an ability to respectfully relate to individuals from a variety of cultural identities.
Basic IT support skills and a positive and friendly attitude.
Willingness to find creative and timely solutions to new problems while paying attention to details.
Patience with people for whom technology concepts “do not come naturally.”
Excellent written and oral communication skills.
Highly motivated, resourceful, and open-minded.
Experience with or willingness to learn Microsoft Office (especially Word and Excel), Adobe products, Google Apps Dashboard, social networking sites, databases, instant messaging, Windows Server and Exchange (including Active Directory) and various Internet browsers.
Experience with or willingness to learn troubleshooting of image copying/scanning technologies.
Bilingual (Spanish/English) given preference.
Beginning pay is $17.76/hour or DOE. This is a temporary position (May/June to September/October) without benefits.
Supervision:
The Operations Support Associate reports to and is supervised by the Administrative Director, Kevin Haag.
Physical demands:
While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel, reach with hands and arms, and talk or hear as well as utilize the telephone, computer, pen and paper. The employee is occasionally required to stand and walk. Should be able to lift/carry up to 25 pounds.
