HomeBase, a non-profit public policy law firm focused on homelessness, seeks a full-time Admin Coordinator to join our San Francisco-based team. We are looking for a career-minded, organized individual experienced in implementing administrative systems, procedures, and policies, and monitoring administrative projects in a small, busy office. This position supports and works closely with the Executive Director, Administrator, and Comptroller.
Primary responsibilities and qualifications include:
Assist Administrator with contract management, budgeting and invoicing, and up-keeping internal procedures and systems.
Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques; assisting internal IT team with troubleshooting IT/tech issues.
Coordinate
stafftravel arrangements
Keep copy room, front office, and kitchen clean, water plants, and runerrands to post office
, copy center, supply stores, and Costco
as needed.
Manage annual Direct Mail campaign, including acknowledgment process.
Occasional coordination of calendars, staff event planning, document and meeting prep.
Intermediate understanding of Microsoft Office on Macs, including Word, Excel and PowerPoint and experience working in databases and running mail merges.
Excellent writing, proofreading, and editing skills.
Comfort with working independently as well as accepting instruction and contributing to a team-based environment.
Demonstrated ability to handle confidential, sensitive human resources information in a discreet and sensitive manner.
Maintain supplies by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
HomeBase prefers candidates with:
A graduate degree in Non-Profit Management or a minimum of 5 year of experience in an administrative or office management support role.
Nonprofit experience and interest in homelessness, housing, and poverty issues.
