Pay Rate: $15‐$17 per hour, DOE/DOQ
Position Overview: Clifford Beers Housing seeks a part time Administrative Assistant with excellent administrative and clerical skills to support the Executive Director, housing development, and fundraising team. The Administrative Assistant position plays a key role in ensuring effective and efficient office operations. These activities will be conducted and primarily supervised under the direction of the Director of Operations, but will also work with the Executive Director.

Educational Requirements:
An undergraduate degree in business, public administration or a related area or relevant experience in the field. Experience in the non‐profit industry is highly desired.

Duties and Responsibilities:
This is not an exhaustive task list, and other duties may be assigned as deemed appropriate or necessary by the supervisor or program director.

Provide administrative support to the Executive Director, including but not limited to scheduling meetings and maintaining calendars, coordinate travel arrangements, assist with board minutes, reports, and meeting setups.
Order, manage, and maintain supplies for the office, kitchen, and staff.
Open and distribute mail; maintain electronic and paper filing systems.
Maintain timesheets, vacation hours, and other documentation for staff.
Prepare binders, divider pages, and other administrative support to the housing development team.
Process all invoices/expense reports for the organization and projects and process all deposits.
Primary contact for vendors, building management, IT, and other departments.

Ability to appropriately handle confidential, sensitive and proprietary information
Proficient typing skills; thorough knowledge of MS Word, Excel, Power Point and Outlook
Knowledge of QuickBooks Pro desirable
Excellent grammar, editing and proofreading skills to complete and correct correspondence and reports
Ability to represent the company in written, telephone and personal interaction with business partners and the public
Ability to work independently with minimal supervision
Take responsibility for moving tasks forward while seeking support when appropriate
Strong organizational skills and ability to coordinate complex activities, prioritize conflicting demands and meet deadlines
Ability to work professionally and effectively in team collaborations
Ability to handle sensitive and confidential materials
Proficient in Microsoft Word, Excel and Outlook
Experience in web design preferred
Class C California driver’s license and proof of valid automobile insurance.
Driving with current class C driver’s license, a vehicle for transportation, proof of valid automobile insurance, the ability to be insured by our liability insurance are conditions of employment.
