Scion Staffing, Inc. (www.scionstaffing.com), a full service national staffing firm, has been engaged to conduct the search for an Administrative Associate for our client, a foundation working directly to help fund organizations within the US on issues such as peace keeping and human trafficking. This contract position is located in San Francisco.
Responsibilities
Undertake legal coordinator tasks as requested, including initial preparation of contracts using attorney-prepared templates, managing the contract intake and approval process, and managing original Board documents and Board files. Work closely with the General Counsel and Associate General Counsel to ensure effective contract tracking and management.
Manage the 40+ state charitable registrations required to permit the foundation’s charitable fundraising vehicle to raise funds; provide similar technical assistance and support
Administratively manage the foundation’s intellectual property portfolio, including tracking filings deadlines and maintaining related files and originals.
Proactively design legal file management systems and maintain original legal documents and opinions.
Provide administrative support relating to the activities of the General Counsel, including drafting correspondence, preparing and revising external and internal legal presentations, and undertaking research on contacts.
Calendar management – coordinate all internal and external meetings of the General Counsel.
Manage the General Counsel’s contacts, travel, meeting and conference agenda and logistics; including any preliminary research, preparing briefing packages and providing the necessary meeting materials and making travel arrangements.
Schedule, prepare and brief General Counsel for all meetings.
Anticipate the needs of the General Counsel.
Support the General Counsel’s workload by managing information flow, and resolving and prioritizing issues.
Support the legal orientation of new staff and maintain legal training and guidance materials.
Requirements
Multi-report EA level candidate who can get things done and has a proven track record in experience.
7-10 years of experience.
Excellent attention to detail, good judgment and can figure out when to make a decision or when something needs to be brought up to management; self starter.
Strong background in scheduling/expense reporting, organizing events and supporting legal/general counsel.
Paralegal background a plus but not a must.
Person must be able to deal with confidential details and documents with the utmost judiciousness.

Compensation
$28 to $35/hr; DOE
