JOB TITLE: Administrative Manager
REPORTS TO: Executive Director
OVERVIEW:
The Administrative Manager is a key team member of a small, energetic staff (4 people). He/she takes primary responsibility for all administrative needs for the Museum including marketing and public relations and support for fundraising and membership. She/he must have organizational, computer and communication skills and be responsible for the efficient management of the Museum’s multi-faceted office.
RESPONSIBILITIES:
Maintain business processes and implement best practices. Regularly review and update museum policies and procedures to ensure strong internal controls.
Coordinate all marketing efforts in partnership with key staff.
Provide support for special events, including all fundraising events, member receptions, etc.
Maintain and update accurate databases. Generate statistical and specialized reports required to manage fund-raising, marketing and special events.
Maintain cooperative and effective working relationships with museum staff, board, visitors, volunteers, donors, local business and cultural organizations.
Provide executive administrative support for the Executive Director.
Maintain social media presence for the Museum (Facebook, Twitter, Instagram).
Update website as needed to keep information current.
Generate solicitation and thank you correspondence.
Interface with bookkeeper in managing revenue, sales and donor reports.
Maintain Museum calendar.
Maintain Board of Directors’ calendar and contact lists.
Manage office supplies, equipment repair and maintenance.
Manage mailings.
Create and distributes Eblasts as needed.
Coordinate all insurance coverage with insurance broker
QUALIFICATIONS:
Minimum 5 years of administrative experience
Excellent written and oral communication skills
Proven management skills
Interest, enthusiasm and affinity for fundraising and working with people
Non-profit experience helpful

Ability to prioritize between multiple demands, set priorities, and work well under pressure.
Proven ability to make independent decisions.
Previous Non-Profit experience desirable.
