Introduction:

Jesuit Refugee Service/USA is an international Catholic non-governmental organization whose mission is to accompany, serve, and advocate for the rights of refugees and other forcibly displaced persons. As one of the ten geographic regions of Jesuit Refugee Service, JRS/USA serves as the major refugee outreach arm of U.S. Jesuits and their institutional ministries, mobilizing their response to refugee situations in the U.S. and abroad. Through our advocacy and fundraising efforts, JRS/USA provides support for the work of JRS throughout the world.

Job Summary:

The Assistant Director for Operations contributes to the work of Jesuit Refugee Service/USA (JRS/USA) by performing a variety of operational duties at the executive level, including, coordination and oversight of the annual organizational calendar, major events, review of budget execution and periodic reporting on the organization’s annual work and monitoring plan. The incumbent in this position oversees organizational project timelines along with its attending staff responsibilities and target dates to ensure timely completion of set initiatives. Serves as focal point to the JRS/USA Board of Directors concerning all communications and meetings to ensure seamless coordination. Also, the incumbent will assist the National Director with the evaluation of staff performance.

Responsibility and Authority:

This full-time position is located at the JRS/USA Washington, DC office reports directly to the National Director. The incumbent in this position is responsible for the improvement of operational systems, processes and policies in support of the JRS organizational mission — specifically, the incumbent is responsible of ensuring efficient oversight of organizational processes and to facilitate sound information flow and organizational planning. The Assistant Director for Operations must be capable of making independent judgments to determine appropriate courses of action, and must take initiative in performing job duties.

Job Responsibilities:

The essential duties of the Assistant Director for Operations can be summed up in the following functions, each with its attendant areas of responsibility.

Planning and Oversight

Coordinates the development of the annual organizational calendar;
Assist the National Director in the preparation of the Annual Work and Monitoring Plan (AWMP);
Responsible for periodically updating all AWMP achievements;
Responsible with day-to-day coordination of key initiatives related to all direct National Director staff reports;
Prepares periodic staff meeting minutes and ensures the satisfactory completion of action items.

Governance

Main point of contact with the JRS/USA Board of Director, responsible for the preparation of director’s regular and committee workbooks, scheduling of meeting agendas, and preparation of minutes.

Human Resources

Ensures effective recruitment, hiring, orientation and retention of staff;
In close consultation with the National Director implements personnel and staff evaluation policies and coordinates periodic staff review, as necessary;

Administration

Ensure paper and electronic file systems and protocols are developed, implemented, and maintained;
Supervise interns and volunteers supporting the organization’s operations.

Assists the National Director with other related duties as requested.

Qualifications and Experience Requirements

The Assistant Director for Operations possesses the following qualifications and demonstrates the competencies identified below.

    Education:

The qualified candidate will have earned at least a Bachelor’s Degree in Management, Business Administration or a related subject. Preferably, the candidate will have a Master’s degree and at least eight years of experience in related positions.

    Experience:

The successful candidate will have experience performing a variety of moderately difficult administrative tasks in a professional environment. The Assistant Director for Operations will also have experience with moderately difficult program management functions including budgeting and financial analysis. Preferably, the candidate will have proficiency in Spanish or French.
