JOB SUMMARY
Responsible for all financial operations, including accounting, compliance, sales, taxes, financial reporting, payroll, budgeting, audits, records and controls, plus the day-to-day supervision of the Accounting staff. Ensuresoverall accuracy, timeliness and completeness of monthly and Board financial reporting, compliance with regulatory and fund rules and requirements, and the adequacy of internal controls over assets and financial operations.
DUTIES
Financial Control
Ensure on-going financial control and reporting expertise at all levels of Trust management. Assist the CFAO in planning for sound financial management strategies, prevention of problems and resolution of problems on an as needed basis. Analyze financial systems and procedures for maximum effectiveness and lead implementation of approved enhancements. Create and maintain a documented system of accounting policies and procedures. Design an organizational structure in the Finance and Accounting departments that is adequate for achieving the Division’s goals and objectives.
Responsible for effective cash management of the Trust’s operating funds, e.g. maximize rate-of-retums on short term investments, minimizing draws on the line of credit and ensuring the timely payment of vendor invoices.
Oversee all aspects of accounting operations in programmatic areas including approving the hiring, training and supervision of staff.
Prepare and distribute accurate, timely, Trust-wide and program financial statements, including preparation of consolidated financial statements, for both senior management and the Board .Ensure the accurate and timely provision of data for completion of the annual report.
Supervise monitoring and analysis of significant variances from budget across the Trust’s programs and administrative cost centers. Work with department heads to develop corrective action plans to mitigate variances and achieve budgeted performance. Report significant issues to senior management
Supervise the recording of investment activity from significant endowment portfolio and for ensuring the accuracy of a monthly direct method cash flow statement reflecting investment portfolio activity.
Ensure staff’s current knowledge of financial/accounting developments, external regulations and rulings from IRS, FASB, AICPA, OMB Circulars and federal agencies which pertain to the financial management of the Trust’s operations. Implement appropriate changes to internal procedures to comply with such rulings and regulations. Account for all Trust financial transactions in accordance with generally accepted accounting principles. Recommend benchmarks against which to measure the performance of organizational operations.
Design and implement effective internal controls to prevent financial fraud, waste and abuse and to safeguard the Trust’s assets.
Supervise all aspects of financial accounting systems and reporting audits by outside organizations, including external financial auditors, the Internal Revenue Service, Audit Bureau of Circulations (for magazine advertisements), state and federal agencies. Provide assistance to Controllers of subsidiaries as needed for their audits.
Supervise and ensure accuracy and timeliness of filing as a foreign corporation and charitable solicitor with all states, filing of reports and compliance to guidelines of regulatory agencies for not-for-proflt organizations e.g. the Better Business Bureau, Guidestar, Charity Navigator and the National Charities Information Bureau.
Oversee the accounting operations of both non-profit and for-profit subsidiaries, especially their control systems, transaction processing operations, financial policies and procedures, and financial reporting.
Ensure bank and general-ledger reconciliations are completed in an accurate, timely manner and on a routine basis, and that results are reported to senior management.
Grants Administration
Supervise administrative responsibilities relating to all private, state and federal grants.
EnsureTrust’s compliance to state and federal regulations which relate to grant administration.
Accounting/Payroll/Travel Office
Direct all financial planning, operations and staffing of the Accounting department, including accuracy, timeliness and appropriate controls for cash receipts/accounts receivables, accounts payable and endowment activities.
Responsible for ensuring accuracy, timeliness and controls for Trust’s payroll process and related systems.
Ensure travel arrangements for Trust staff, Trustees and Advisors conform with established controls and procedures, and are in compliance with IRS guidelines.
Ensure accurate and timely generation and distribution to staff of the monthly financial reports.
Contracts Administration
Oversee Trust’s compliance to federal regulations relating to procurement and work with the Trust’s legal department to ensure compliance with federal regulations relating to contracting.
Monitor and ensure indirect cost recovery as it relates to contracts with various federal agencies. Oversee the preparation and submission of the Trust’s federal indirect cost rate application. Ensure the proper aggregation and allocation of indirect costs by type.
Member Services Office
Work with the Director for Member Services to ensure timely and accurate processing of cash receipts and lockbox receipts, and to ensure accurate and complete processing by the member services department of other departments’ data entry requirements e.g. Main Street, Forum, Conferences and General Appeals.
Other Responsibilities
Assist CFAO as requested for various special projects.
Represent the Trust at internal and external meetings centering on fiscal issues as requested.
Conduct timely performance evaluations and ensure that the evaluation process for Accounting staff is performed in accordance with current policy.
Serve as an information resource in the absence of the CFAO and serve as the back up for CFAO when CFAO is out for an extended period.
Serve as the team leader for the finance department, demonstrating appropriate leadership skills and team behaviors to ensure the finance department is a high performing team.
Comply with all Trust policies and procedures.
Ensure familiarity with the Trust’s mission and adhere to the Trust’s values.
Maintain the level of confidentiality required by the position.
QUALIFICATIONS
Minimum 7 years’ relevant non-profit accounting experience or experience in financial management of a not-for-profit organization with a significant endowment and federal funding, large membership and publication programs. Financial experience should be in the context of significant overall years of professional level experience, including at least 5 years’ supervisory experience and experience with budgeting, staffing, and leading teams to generate high quality results.
Advanced analytical and problem solving skills, including issue identification and prioritization.
Advanced project-management, team-management and client-management skills. Ability to achieve results with minimal supervision.
Experience supervising professional staff, as well as managing key internal and external stakeholders and relationships.
Proven ability to collaborate across divisions to implement processes and achieve results. Track record of building and maintaining productive relationships with multiple stakeholders.
Ability to prioritize, multi-task efficiently and respond to a high volume of ongoing requests in a timely fashion, with ability to adapt and be flexible in adynamic work environment. Ability to work beyond standard hours as needed to meet deadlines and expectations.
Proven ability to continually develop skills related to use of rapidly changing technology and communications best practices.
Effective presentation skills. Excellent verbal and written communication skills.

Demonstrated success in working with and engaging culturally staff and partners.
Willingness to participate in, and experience providing instruction in, continuing education programs for financial topics and computer software skills for self and staff.
Familiarity with IBM AS400 and Lawson accounting software a plus. Expereince with the implementation of accounting and payroll systems desired. Must have advanced Microsoft Excel skills and intermediate skills with Microsoft Word.
Bachelors degree in accounting and CPA (or requivalent training and certification) required. Graduate degree in a related field (or equivalent work experience and training) a plus.
