The Music Center is currently searching for a Coordinator, Program Operations.
The Community Engagement/Programming Department has an immediate opening for a Coordinator, Program Operations. This an entry level position who will assist in the execution of all areas of operations and coordination for related activities as part of a team for the Community Engagement/Programming Department, including but not limited to community-centered programming (such as Active Arts, Sleepless, festivals), and others, as well as presentations (such as Glorya Kaufman Presents Dance at The Music Center).
The Coordinator will work under the general direction of and reporting to the Vice President, Community Engagement and will work closely with all Operations departments including but not limited to: Production, Scheduling and Events, Guest Services, Security, Engineering, Housekeeping, Grand Park operations, on-site catering vendor (Patina), parking vendor (Classic Parking), Accounting, and other internal departments and their staff; position maintains effective and on-going internal and external relationships (including vendors, volunteers and general public) and serves as the primary point-of-contact for the department. The successful candidate must maintain must maintain positive relationships with all levels of Music Center staff as well as key external individuals and organizations.
Duties and responsibilites include, but are not limited to:
Operational and production support and coordination as primary point-of-contact and responsible for all departmental production and logistics needs, including but not limited to: load-in/load-out; technical assistance such as lighting, sound, sets, and costumes; events scheduling; creation of production schedules and timelines; tracking event budgets; completing space requests.
Manage and maintain inventory of department equipment.
Recruit, manage and train part-time Production Assistants.
Coordinate artist hospitality including but not limited to travel, hotel, and meals. Provide support for welcome/hospitality packets, security clearance, food/water hospitality, ticketing, merchandising, and other items as required.
Manage purchase and selling of merchandise for all events produced by the department (some may occur off-site), including set-up/take-down, managing inventory, petty cash, credit card transactions, etc.
Handle event registration including advance set-up online, monitor registration, communicate with registered participants as necessary, and check in participants into event using appropriate software.
Track, accurately code, submit and file invoices, obtain appropriate authorizing signatures, and ensure timeliness of payments. Create and complete simple independent contractor agreements and corresponding payments.
Departmental administrative responsibilities include but are not limited to: working with online database, data entry/input, extraction and simple report; timely reporting to external agencies such as BMI, ASCAP, Cultural Data Project, and others; and scheduling and organizing of department meetings.
Handle inquiries from patrons and the public and timely response to general inquiries via email, telephone, in-person, and/or other.
Attend meetings related to the described duties as necessary.
General clerical duties and support as needed.
Assist staff during events as assigned.
Qualifications, educations and or experience:
Bachelors’ Degree (B.A.) from a four-year college or university is desired; education, experience and training in the performing arts field, required.
Two to three years minimum related experience and/or training; or equivalent combination of education and experience.
Knowledge and demonstrated experience with performing arts production practices including familiarity with technical theater, stage production and management, event management, required.
Knowledge of the Los Angeles arts and cultural field, is greatly desired.
Must be a team player; able to think through complex requests and use logic and reason to develop and propose solutions; detail-oriented with strong follow-through skills; must be resourceful and self-directed to manage and complete multiple tasks on varying projects with tight deadlines; works well under pressure and in a fast-paced environment.
Strong communication skills; can effectively communicate with all levels of personnel; strong problem solving skills.
Excellent people skills and must be able to communicate detailed information in writing and by voice, clearly, succinctly and accurately; tact and diplomacy; approachable.
Must demonstrate cultural sensitivity and competency.
Data proficiency with surveys/evaluations, metrics etc. preferred.
Proficient in technology and technology-based communications, as well as full proficiency in computer use: Word, Excel, PowerPoint, and Outlook, is required.
Highly dependable and punctual; must have a reliable source of transportation.
Bi-lingual English and Spanish, preferred.
Able to lift and move unassisted at least 40 pounds.
Must be able to work a flexible work schedule to include evenings and weekends.
Must be able to work in different environment such as office, theater, and outdoor environments.
