Database / Quality Assurance Specialist – Associated Ministries of Pierce County – Tacoma, WA

ORGANIZATIONAL DESCRIPTION: Associated Ministries, an interfaith agency, has represented the community in responding to the needs of the community for more than a century. JOB SUMMARY: Monitors contract compliance and quality assurance, including deliverables and documentation. Ensures quality record-keeping, data tracking, and community relations with program contracting agencies and other stakeholders. This position is responsible for assessing effectiveness in program areas, analyzing the data gathered and implementing process improvements.

RESPONSIBILITIES

Contract Compliance, Quality Assurance and Project Management

Maintain all records for performance and deliverables associated with contracts granted to or administered by Associated Ministries.
In collaboration with the CPO monitor quality assurance and prepare required reports documenting compliance and quality assurance.Additional program work may include direct monitoring of compliance by sub-contractors, site inspections and external meetings.
Work closely with Program Directors and Managers to assure that contract requirements are understood and fulfilled; that they are notified in a timely manner of pending deadlines; and that reports required are received in a timely manner.
When designated, lead internal workgroups and projects engaged in aspects of Quality Assurance.
Represent Associated Ministries and agency Programs at external meetings with community partners, events, workgroups and coalitions.

Database and Reporting:

Take a leadership role managing the agency database applications.
Reconcile data from multiple databases (internal and external) and filter data to accommodate the requirements of various funders.
Create and generate custom database reports required for internal and external compliance and performance evaluation. These standing and ad-hoc reports are generated using internal and external data respositories.
Notify appropriate supervisors when quality or timeliness of data recording does not meet expectations.
Work with the IT Manager and all direct service staff to resolve challenges as they arise.
Work with Directors and Managers to develop new reporting tools and assess reporting needs for new Programs as needed.
Create and support systems for gathering, analyzing and reporting data for administrative and fund development purposes.

General Administrative Support:

Provide support to the CPO as needed.
Coordinate internal communication to ensure that resources developed or identified by one program are made available to others.
Manage telephone inquiries, correspondence, and emails.
Perform such other duties as may be assigned, including cross-training with direct services staff and providing direct services when needed.

EXPERIENCE AND SKILLS REQUIRED

Successful previous experience in contract and or quality assurance management and reporting. Experience and strong understanding of Project Management.
Experience in working with large SQL databases, including public or legacy database platforms.
Intermediated understanding of Transact SQL(T-SQL). Prior experience using T-SQL to generate ad-hoc and standing reports.
Advanced understanding and prior experience using Microsoft Excel and/or Crystal Reports as a reporting platform.
Demonstrated administrative aptitude: ability to coordinate complex work assignments, good follow through with details, willingness to take initiative, ability to work with minimal supervision.
Proven ability to work well with other people.
Demonstrated excellent written and verbal communication skills.
Familiarity with and sensitivity to the constituency of Associated Ministries, including diverse ethnic and religious backgrounds.
Must be dependable, reliable, and flexible. Able to work occasional evenings.
Proven ability to provide own transportation to and from work, as well as to meetings and events.
Physically able to sit at desk for 50% or more of an 8 hour work day.

EXPERIENCE AND SKILLS PREFERRED

Working knowledge of Google Docs.
Working knowledge of Homeless Management Information System (HMIS) and Client Social Service Tracker (CSST).

EDUCATIONAL REQUIREMENTS

BA, plus two years experience in contract, quality assurance or project management.

COMPENSATION

Salary Range: $42,900 – $52,000
