Development Assistant PT – Trinity Counseling Service – Princeton, NJ

Trinity Counseling Service, a private not-for-profit mental health services agency, is seeking an optimistic, detail oriented, self-motivated and highly organized individual with experience in fundraising in a nonprofit organization to provide support to a growing development department. Reporting to the Development Director, the Development Assistant will support all fundraising activities including donor database management, donor stewardship (including phone calls and note writing), event planning, logistics management, annual appeal mailings, grant writing, data gathering and report generation, corporate partnerships and support of the Board of Trustees.

The ideal candidate will possess a high level of professionalism and understand and respect issues of confidentiality related to working in a mental health setting. Excellent written and oral communication skills, the ability to interact effectively within a diverse team and the ability to work with a high degree of accuracy and efficiency are required.

This position offers a wide range of learning opportunities to a candidate interested in honing their skills in nonprofit management, fundraising, volunteer management, database management, and marketing. The right candidate will have a hunger to learn and will be excited to grow with our department. This is a part time position with the potential to grow with the right person and as funds are available.

Responsibilities:

Fundraising, Marketing and Event Planning

Produce timely & accurate donor acknowledgement letters and tax receipt letters for donations to the organization;

Follow organizational development protocols and handle time sensitive projects such as reporting, responding to foundations and corporate funders, and responding to a variety of donor requests;

Develop creative and thorough content for collateral materials including annual newsletters, e-blasts and other written communications;

Assist with the annual appeal by generating mailing lists from DonorPerfect, supporting volunteers with personalization of appeal letters, attending volunteer meetings and events, and tracking donor giving throughout the year for analysis and reporting purposes;

Provide comprehensive event planning support including organization and management of auction items, guest lists, invite mailings, acknowledgement mailings and all other event items as needed;

Assist with pledge tracking, donor stewardship, management and oversight of donations;

Track all development and marketing expenses and report to the staff and accountant all necessary information regarding expense sheets;

Provide support with website, marketing, community boards and social media communications.

Volunteer Management

Assist the Development Director with general volunteer management including drafting communications to committee members, responding to committee member requests and working closely with the development team to ensure effective engagement of all volunteers;

Schedule and manage a calendar of volunteer and committee meetings;

Keep accurate and concise minutes at committee meetings and provide follow up as needed to Board members, event volunteers and other organization supporters.

Database Administration and Financial Reporting

Maintain the integrity of all information in the DonorPerfect database; run constituent reports; and conduct general database cleanup to ensure consistency of entries;

Create queries and generate reports from Donor Perfect on a regular basis.

Work with Controller and Development Director to reconcile differences between Donor Perfect and accounting records.

Research

Assist with conducting prospect research for foundations, corporations and individual giving;

Research and report on topical content for newsletters, website, and grant proposals as it relates to the organization’s mission;

Assist with research and writing to support grant proposal and reporting activities.

Education and Experience:

Bachelor’s Degree or equivalent combination of education and experience.

1-2 years minimum fundraising and development experience in a non-profit setting is required.

Current office administration experience is preferred.

Experience working in human services, health or mental health setting a plus.

Skills and Abilities:

Outstanding computing skills with proficiency in the use of Microsoft Office Suite, Outlook and database software such as Donor Perfect. Knowledge of accounting and accounting software a plus.

Ability to manage multiple on-going projects with little oversight and to produce results in a fast paced, ever changing work environment.

Excellent written and verbal communication skills, and ability to write thorough first drafts of grants, marketing materials, newsletters, etc.

Solid problem solving skills, team building and consensus management and planning.

Schedule and Compensation: 15-18 hours per week, and the ability to work occasional weekends and evenings to support special events. Exact hours and days are negotiable. This position will start at the rate of $16 per hour.
