SUMMARY
The Development Coordinator provides administrative and logistical support for local and national development team. Additionally the Development Coordinator fulfills reception duties for the local California office. NOTE: THIS POSITION IS IN LOS ANGELES, CA
ESSENTIAL JOB FUNCTIONS
The duties outlined below are considered to be the most significant responsibilities of the Development Coordinator that are essential for effective performance in this position. Responsibilities include, but are not limited to:
Grant Administration:
Coordinate and support all aspects of grants process from research, application, submission, to award acknowledgment;
Research and gather content for local and national grant proposal development as well as for local donor and board cultivation;
Work closely with Director of Development & External Affairs and Finance Team to track grants and report on restricted revenues and related expenses;
Provide tracking support of national institutional giving;
Support DOD to ensure that deadlines for grant reports, proposals, budgets and other submissions to donors are met;
Keep relevant staff informed about upcoming deadlines and deliverables for application and reporting.
Committee & Events Management:
Support the Director of Development and External Affairs (DOD) in managing the CA committees. Key responsibilities include: calendaring, communication and meeting coordination, agenda preparation, participation in meetings (in person or virtual), taking meeting minutes and other support as assigned;
Manage systems to track committee support and giving histories, including maintaining and updating CRM system with all relevant information;
Manage the process of compiling and updating local prospect lists, prospect research, giving histories, donor profiles and solicitation lists;
Manage local fundraising events including pre and post-event coordination and on-site responsibilities;
Create and edit materials and digital content, including invitations, fliers, programs, calendar entries, and photo gallery submissions for local fundraising efforts.
Fundraising and Development:
As needed, seasonally or for specific fundraising initiatives, complete gift entry;
Maintain documentation, files and data entry related to local donors;
Manage cash received locally by trafficking bank deposits and provide necessary documentation to Finance & Development Departments;
Maintain all local Development documentation and backup, including reviewing all scanned and saved donations (checks and credit card) and records of acknowledgement letters;
Document all local fundraising activities for internal and external reporting needs;
Support efforts to increase individual giving and donations through a variety of means, including direct response, and provide ongoing analytics;
Assist with CEO and Executive Team prep for local major donor and constituent meetings, including, but not limited the creation of, coordinating printing and distribution of materials;
Provide support to Development staff in New York as needed.
General Office Operations:
In partnership with the Healing program team, greet visitors and answer phone calls, faxes, mail and provide resources and information on JHF programs, events, and public awareness initiatives;
Assist with the distribution of print materials and coordinate printing and distribution of additional materials as necessary;
Discretely handle matters that are critical, confidential, and time sensitive, keeping the senior staff informed.
Complete other duties as assigned and appropriate
QUALIFICATIONS
Education/Experience
Bachelor’s degree preferred;
3-5 years development or operations experience required, non-profit setting preferred;
Grant writing experience preferred.
Skills/Abilities
Must be detail oriented, have strong inter-personal skills, able to handle multiple tasks, with the ability to work both independently and collaboratively;
Excellent communication (oral and written) and interpersonal skills with proven ability to interact with a diverse range of individuals both in person and over the phone, applying tact and discretion as situations demand;
Must have excellent working knowledge of MS Office suite, including pivot tables in Excel and mail merge and forms in Word;
Must have excellent knowledge of databases; SalesForce, FundEZ and/or Raiser’s Edge a plus;
Strong written and verbal communication skills;
Prospect research experience highly desirable;
Ability to work effectively both independently and in a team environment, approaching problems and conflict professionally and constructively.
Additional Requirements
Some evening and weekend work required on an as-needed basis, with limited travel.
