Development Operations Manager – Manomet

Job description
The Development Operations Manager has the primary responsibility of managing donor information for Manomet via the donor database (Raiser’s Edge – “RE”) and supporting the use of donor data to increase dollars donated in support of Manomet’s mission-driven work.

This position reports to the Assistant Director of Development, and is responsible for managing the day-to-day operation and usage of RE for both fundraising and organization-wide initiatives. S/he is responsible for maintaining the overall integrity of the donor database, the accuracy of personal and financial information and creating a variety of Moves Management, direct mail and financial reports.

The Development Operations Manager also provides prospect and research management for the Director of Development and Director of Individual Giving, and helps manage outreach and cultivation events with the Assistant Director of Development.

Duties and Responsibilities
Raiser’s Edge Database Management

Manage the operation, maintenance, data input, data integrity and accuracy for RE
Master database functions to provide exemplary donor recognition, moves management tracking, reports and appeal data
Implement all aspects of RE management including daily processing of gifts, running all reports and queries, gift coding, exporting and importing data and mail merges
Troubleshoot issues with RE
Train and guide others in the use of RE; coordinate periodic training of all development staff on current and new applications and changes/updates in procedures
Coordinate prospect management process in RE for Major Gifts team
Import/enter new prospect and donor information received via trips and activities and other sources
Import/enter prospect wealth screening and ratings
Manage coding of appeals and solicitations and constituents
Prepare and produce lists for donor and prospect mailings for the department – including direct mail, in-house appeals, donor cultivation and event acknowledgements
Work with Communications team to integrate donor data with Constant Contact data, and serves as Constant Contact back-up staff person
Gift Processing and Acknowledgement

Timely processing of all gifts and pledges into RE (goal is 48-hour turn-around)
Ensure gift acknowledgement letters are accurate and timely
Respond to requests from donors in a timely and professional manner
Prepare weekly donations log for President and Director of Development
Ensure program leaders are notified of project designated donations
Manage and maintain gift processing procedures and update as needed
Reconcile gift data monthly with the Accounting Department
Create new donor welcome kits and ensure that new donors are welcomed promptly
Manage pledge reminders and recurring gifts
Reporting and Donor Analytics

Provide standard reports to analyze development activities and progress toward goals; communicate activities to relevant internal stakeholders
Analyze, identify and report on donor and lapsed donor trends and coordinate segmented appeals with Assistant Director of Development
Prepare and send weekly donations report to Development Team (for individual follow up to managed donors)
Provide organization, production and maintenance of annual campaign materials and data
Produce donor reports for annual report and 990
Provide requested donor information to Finance for annual audit
Research and Prospect Management

Manage the process by which prospect information is gathered, stored and reported from RE
Conduct initial research of new prospects/donors added to RE via activities or new donations, coding appropriately for prospect management
Conduct prospect research including identifying suspects, compiling and writing profiles, tracking current events involving prospects and donors and helping to prioritize suspect pool
Assist Sr. Manager of Foundations and Corporate Giving to conduct foundation and corporate research to identify potential funding sources, which would occur through prospect research and suspect identification
Assist Director of Development in producing briefing materials to executive team, members of the Board, and Development Committee in preparation for donor meetings

Event Support
Support Assistant Director of Development in producing cultivation and donor appreciation events including participating in site selection, invitations, catering, transportation, etc.
Coordinate follow-up for events with invitees, including preparing letters, promotional materials and scheduling visits
Work with Assistant Director of Development to manage Manomet in the Field trips, including publicity, logistics and follow up

Other /Administrative
Serve as the first point of contact with the Development office, responding to donor inquiries and calls
Assist Sr. Manager of Foundations and Corporate Giving with maintaining foundation and corporate data and preparing and mailing proposal packages
Support Assistant Director of Development in preparing donor communications including digital communications and Alumni Program communications
Assist with correspondence and reports using Microsoft Word, Excel and PowerPoint
Create and maintain donor files
Maintain Development Calendar of events, publications, appeals, meetings, conferences, etc.
Attend select after-hours and meetings
Other duties as assigned by Assistant Director of Development

Qualifications
A Bachelor’s degree and a minimum of 3-5 years’ experience working with RE or other fundraising database software.
Excellent computer skills including extensive knowledge of MS Word, Outlook, Excel, PowerPoint, and the Internet.
Ability to think critically and creatively.
Demonstrated understanding of professional event presentation standards.
Flexibility to handle multiple tasks at once.
Exceptional skills in “managing up” and across teams.
A customer-service approach to serving colleagues, and excellent written and verbal communication skills.
Strong organizational skills, detail-oriented, and efficient.
