Arch Street Presbyterian Church (ASPC) aims to be a vibrant, engaged and diverse church that witnesses to the Resurrection of Jesus Christ by worshipping and caring for its members and its Philadelphia neighbors. A dwindling congregation just six years ago, ASPC has undergone a major revitalization, now with over 100 members. ASPC’s growing congregation is reinventing itself as a welcoming community that is actively engaged in responding to the issues facing Philadelphian’s.

Position Description and Purpose

Job Summary: The Director of Operations has primary responsibility for the planning, development, and implementation of vital operations functions at this vibrant and growing church. The Director of Operations serves as the primary point of contact and accountability for internal and external communications, facilities, and office management issues. Additionally, the Director of Operations plays a key role in finance, stewardship, and human resources and works closely with the Finance, Stewardship and Personnel committees to share in the execution of their responsibilities.

Essential Functions:

Financial Management and Stewardship

Work with the church’s external accountants and auditor, as well as the finance committee to support all functions of financial management, including accounting, to ensure full compliance with all applicable laws and regulations as well as industry standard accounting principles.
Ensure preparation of timely financial reports in accordance with policies established by the Session. Serve as the primary contact with the church’s external accountants and auditors.
Monitor all financial accounts, accounts receivables, and payables for timely receipt and payment within the scope of the budget.
Support Stewardship effort. Maintain accurate pledge/contribution records and follow-up on existing pledges. Prepare regular pledge statements and annual giving reports. Ensure that all pledgers and contributors are properly thanked.
Assist Finance Committee with budget preparation including performing revenue/cost projections and reviewing department budget submissions.

Administration and Communication

Proactively communicate, support, and fulfill the mission, vision, core values, and goals of ASPC.
Provide administrative support for weekly staff meetings, monthly governance meetings, weekly church Bulletins, and annual reports.
Provide administrative assistance to the Senior Pastor for communication with church leadership, internal and external stakeholders, stewardship campaign efforts, posting of sermons and other material on the web or through other social media outlets.

Maintain an accurate database of all volunteers, members, friends, and vendors to track attendance, giving, service, and finances. Maintain online membership directory.

Strengthen communication and collaboration among and between various ministries.
Oversee the administration of all church insurance policies including property, liability, and workers’ compensation.

Facilities

Work with the Senior Pastor and Facilities Staff to ensure that the facilities and grounds are stewarded through systems of cleaning, maintenance and improvements. Create and implement a regular preventative maintenance program for facility and grounds.
Serve as liaison to city of Philadelphia or any other governmental agencies regarding property, right-of-ways, parking or any other concern that arises. Build and maintain relationships with these key leaders.
Establish and maintain vendor relationships for facility issues.
Maintain asset inventory list for Treasurer and update as needed.
Maintain files on all equipment with such information as user guides, warranty information, and purchase information and manage inventory and availability of office supplies and equipment.
Handle facility scheduling, determine room set-up and equipment
Work with and for the Senior Pastor to determine strategies for facility utilization that contributes to ASPC’s sustainability (e.g. room rentals, weddings).
Facilitate research and give direction to ASPC’s facility systems development (i.e. voicemail, website, in-house broadband, development of mobile app, new hardware/software needs).
Responsible for managing all telephone accounts and the church’s telephone system.

Human Resources

Working with the Personnel and Finance Committees, facilitate and implement, where appropriate, all functions of human resource management, including payroll and benefits, to ensure full compliance with all applicable laws as well as the policies established by the Session.
Make recommendations to the Senior Pastor/Personnel regarding Operations personnel; including hiring, review, salary, professional growth, and termination. Act as first line supervisor for all paid Operations ministry personnel. In conjunction with the Senior Pastor, conduct a yearly review of all department related personnel.

Preferred Qualifications:

College graduate and/or equivalent work history.
Two years’ experience in a management/supervisory position.
Ability to deal effectively with the public at large and be “face” of ASPC’s mission, vision, and values.
Comfortable working with leaders in lesbian/gay/bisexual/transgender/queer community.
Knowledgeable of faith community dynamics and Presbyterian governance a plus…
