Scion Staffing, Inc. (www.scionstaffing.com), a full service national staffing firm, has been engaged to conduct a search for a new Executive Assistant for our client, a long-established community foundation focused on promoting and supporting the equity of opportunity for their community members.
The Executive Assistant will be responsible for supporting the Foundation’s Chief Financial and Operating Officer and contributing to special projects, committee meetings and overseeing office reception staff.
WHAT YOU’LL BE DOING:
Support CFO/COO with scheduling and prioritizing meetings, provide reminders as needed; screen mail.
Serve as liaison between CFO/COO, President and CEO, key internal and external constituents, as well as, vendors.
Maintain corporate records, including dockets and minutes binders for the Foundation and its supporting organizations.
Record, prepare, and distribute minutes and compile agendas and meeting notices for Investment Committee and Audit Committee meetings and the Foundation’s institutional supporting organizations. Review agendas and meeting notices; record and distribute minutes for the Foundation’s family supporting organizations.
Assist with Investment Committee and Audit Committee governance, including annual policies and member terms. Assist with supporting organization board governance, including directors term maintenance and Statement of Information filings with the California Secretary of State’s office.
Review and draft Foundation policies for review by the President and CEO, CFO/COO and trustees.
Facilitate and expedite the execution of contracts for the Foundation.
Supervise reception activities, including ordering office and kitchen supply inventories, bill reconciliation, meeting room scheduling, and various administrative projects.
Supervise reception staff; develop clear expectations and performance standards, facilitate and monitor departmental goals and objectives, prepare written evaluations, and assist with professional development plans to meet organizational goals.
Assist with on-boarding of new staff , as well as, update Foundation materials used for new trustees’ and Investment Committee members’ orientations.
Act as notary public for the corporation.
WHAT YOU NEED TO BE SUCCESSFUL:
B.A./B.S. degree required or A.A. degree in a related field of study and 5+ years of executive support experience, as described in the essential functions of the job description.
Certification as a notary public or ability to obtain certification within six months of hire.
Strong management skills including the ability to influence and engage direct and indirect reports; to participate in staff selection; to provide or coordinate staff training; to provide timely, relevant, and accurate feedback related to performance; and to administer disciplinary action as warranted.
Intermediate proficiency with Microsoft Office (Outlook, Word, Excel), and the ability to effectively utilize proprietary software.
Strong planning and implementation skills; research and synthesizing abilities.
Excellent ability to prioritize, organize, and manage multiple competing assignments and responsibilities.
Excellent customer service and communication skills.
A high degree of professionalism, confidence and flexibility that allows the incumbent to work collaboratively and effectively with clients and colleagues of diverse backgrounds.
Excellent interpersonal skills with the ability to work well in a team environment. Ability to develop and maintain a good working relationship with the Foundation staff, members of the community, elected officials, the media, colleagues in other foundations, and members of the nonprofit sector.
High level of personal and professional integrity and ethics.
COMPENSATION:
The position offers a competitive base salary within the $75K to $95K range (depending on experience) in addition to a robust benefits package and a job you will love!
