Executive Assistant Position Description
Location: Center for Women & Enterprise Corporate Office; Boston, MA
Reports To: Chief Executive Officer
Classification: Non-exempt
The Center for Women & Enterprise (CWE) was founded in 1995 and has grown to become the largest regional women’s entrepreneurial development center. Our mission is to empower women to become economically self-sufficient and prosperous through entrepreneurship and business. CWE provides education, training, technical assistance, access to capital, certification and access to market programming through multi-week courses, workshops, and women’s business certification.
Job Overview
The Executive Assistant works closely with the CEO and supports other executive management team members in a dynamic, fast-paced, and intellectually stimulating non-profit organization to help support and execute administrative policies, stakeholder relations, Board of Directors and Committee management, state and federal government funding assistance, as well as implementing the organization’s stewardship of donors and assistance with special events.
Duties and Responsibilities- Executive Assistant and communication functions
Works as the right hand person to the CEO on internal and external communications, external affairs, and coordination of special projects, stewardship and some events.
Manages and prepares CEO’s communication and correspondence, presentations and when possible and appropriate, responds independently on CEO’s behalf.
Along with CEO, serves as a contact and staff liaison for CWE’s Board of Directors.
Executes the preparation of records such as agenda, packets, notices, minutes, and resolutions for meetings of Board of Directors and committees.
Composes and prepares high-level correspondence, reports, and other complex documents on behalf of the organization and CEO for various stakeholders.
Manages CEO’s calendar and independently schedules appointments and follow up notices.
Works with members of executive management team, as appropriate, and provides similar support services to assigned individuals.
Duties and Responsibilities- Community and constituent functions
Coordinates the cultivation and development of city, state and federal government relationships, with a focus on appropriations
Works with CEO to cultivate and steward key individuals and prospects for development and engagement with CWE
Implements CEO stewardship activities for donors to including newsletters, unique recognitions, cultivation and other activities
Assists with and organizes special events
Qualifications and Competencies needed
Four-year college or university degree in related field
3-5 years of experience preferred
Excellent oral and written communication skills
High energy and takes initiative
Exhibits effective persuasion and sales skills
Detail oriented
Builds rapport and authentic relationships with volunteers, donors, clients and staff
Trustworthy and maintains confidences
Excellent computer skills and software knowledge
Knowledge of Raiser’s Edge software strongly preferred
Ability to solve practical problems and deal with a variety of situations Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
