Executive Assistant to the President – Inter American Dialogue – Washington, DC

A Washington-based think tank, the Inter-American Dialogue engages our network of global leaders to foster democratic governance, prosperity, and social equity in Latin America and the Caribbean. Together, we work to shape policy debate, devise solutions, and enhance cooperation within the Western Hemisphere. Seventeen Dialogue members served as presidents of their countries, and over three dozen have served at the cabinet level. For five consecutive years, the University of Pennsylvania has ranked the Dialogue among the top 2 percent of US think tanks, and last year London’s Prospect Magazine named the Dialogue “US Think Tank of the Year.”

RESPONSIBILITIES: The executive assistant will work under the direction of the Dialogue’s president. The ideal candidate will be reliable, discreet, detail-oriented, and have excellent organizational skills and an interest and some background in Western Hemisphere affairs.

Specific responsibilities include:

Manage President’s appointments, travel arrangements and telephone communications.
Act as the “gatekeeper” and perform the “gateway” role, facilitating access to the President’s time and office
Communicate directly, and on behalf of President, with major stakeholders
Coordinate President’s media and public appearances
Draft, edit and proofread correspondence with Dialogue stakeholders
Maintain contacts in CRM as well as log in relevant post meetings communication
Collaborate with program staff on pre and post events tasks including, but not limited to: database entries, vendor communications, billing and other correspondence.
Assist with the editing, translation, design, and publication of program reports, memos, press releases, and other materials, as needed.
Manage the logistics of public events, conferences, delegations and ad hoc meetings, as required.
Help manage financial logistics such as reconciliation of expenditures.
Manage president’s presence on social media, including publishing on website, and/or using social media applications such as Twitter, Facebook, etc., as needed.
Assist with grant reporting and preparation of meetings in D.C. as well as in the region
Collaborates and coordinates with junior staff on meetings or events
Other responsibilities may include editing, commenting on, summarizing, or drafting documents in English or Spanish, responding to special requests from funders, as assigned by the president.

QUALIFICATIONS:

BA (required) or MA degree in International Relations or related field with strong academic credentials.
Excellent verbal and written communication skills.
Two to four years of working experience (1 year at executive office operations).
Fluency in Spanish and English is required, Portuguese a plus.
Excellent interpersonal skills.
Proficiency with Microsoft Office ( Outlook, Word, PowerPoint) Adobe Acrobat, CRM and Social Media web platforms and strong attention to details
Proven capacity to multitask and work independently as well as in a team
Willingness to work weekends and late evenings, as needed.
