About Friends of the Multnomah County Library

The Friends of the Multnomah County Library (FOL) advocate for and support our outstanding public library. We are committed to providing supplemental funding for library programs and services, and sponsoring activities which engage people who value our library.

Position Summary

The Executive Director is responsible for the successful leadership and hands on management of FOL according to direction set by the Board of Directors. This is a 0.5 FTE, exempt position, reporting to the President of the Board of Directors.

The responsibilities of the Executive Director include:

Leadership

Participate with the Board of Directors (Board) and FOL staff in maintaining a vision and plan to guide the organization

Establish and maintain relationships with Library leaders and FOL members

Foster effective teamwork and communication amongst Board members and staff, includes providing orientation, training and administrative support to the Board

Identify, assess, and inform the Board of internal and external issues that affect the organization

Human resources planning and management

Determine staffing requirements, recruit, interview and select a diverse workforce of staff that have the required qualifications to further the organization’s mission

Oversee the implementation of human resources policies, procedures and practices including the development of job descriptions for all staff

Coach and mentor staff as appropriate to improve performance by conducting performance reviews and disciplining staff as necessary

Establish policies to ensure volunteers have the training and ability to carry out their duties

Financial planning and management

Work with staff and the FOL Budget Committee to prepare a comprehensive annual budget

Approve and distribute expenditures within the authority delegated by the Board

Work with the Treasurer, Bookkeeper and Accountant to ensure bookkeeping and accounting procedures are followed and administer FOL funds according to the approved budget and monitor monthly cash flow

Comply with taxation, withholding payments and filing deadlines

Community relations and advocacy

With the President of the Board, act as a spokesperson for FOL

Communicate with stakeholders to keep them informed of work of FOL

Enhance and refine all aspects of external communications

Establish good working relationships and collaborative arrangements with community groups, FOL members, elected officials and other organizations

Operational planning and management

Oversee the planning, implementation and evaluation of FOL programs, services and special projects, including the Book Room, Membership, Book Sales, Online Sales and the Retail Store

Monitor the programs and services of FOL to maintain or improve quality and cost-effectiveness

Draft policies for the approval of the Board and prepare procedures to implement the organizational policies. Review existing policies on an annual basis and recommend changes to the Board as appropriate

Manage the facilities used for program operations

Maintain official records and documents, and ensure compliance with federal, state and local regulations. Securely store FOL, personnel, donor and volunteer records

Identify, evaluate and mitigate risks to the organization

Ensure appropriate and adequate insurance coverage

Other duties, as assigned

Qualifications

3-5 years of experience managing staff of three or more

Demonstrated leadership and communication skills

Project management, budgeting and financial analysis experience

3-5 years of experience in fundraising

Strong computer skills including QuickBooks, Microsoft Office and Google Applications

Bachelor’s degree or 5-7 years relevant experience

The physical demands include lifting up to 25 pounds, working at a computer station, and frequent local travel. Reasonable accommodation can be made to enable people with disabilities to perform the described essential functions of the position.
