VASHON MAURY COMMUNITY FOOD BANK

The Vashon Maury Community Food Bank works in partnership with the community to provide, without judgment, food, food education programs, and related services to anyone in need.

GENERAL RESPONSIBILITIES

The Executive Director’s primary responsibility is to plan for and administer programs of the Vashon Maury Community Food Bank, serving clients in accordance with the stated mission and in such a manner that optimum results are achieved in relation to the resources of the organization.

In carrying out this responsibility, the Executive Director will:

-Report to and operate under the general direction of the Board of Directors. The President of the Board of Directors serves as the ED’s immediate supervisor and may provide direction or advice to the ED. The President shall also set the performance objectives and provide feedback and evaluation for the ED, with consultation with the Board.

-Uphold all food bank policies. Work as team to communicate, model and enforce policies with all volunteers and clients.

-Treat customers/clients, volunteers, donors, and other staff with the utmost respect at all times, even when in disagreement.

-Seek support and help to work through differences and problem solve as a team. Executive Director makes final decisions when/if needed.

SPECIFIC RESPONSIBILITIES

Human Resources — The Executive Director relates both to the Board of Directors and to the staff of the agency.

Board of Directors — Develops and recommends to the Board of Directors specific, written, long and short range plans for the development of agency programs and services. Maintains appropriate relations with the Board and various Board committees, and keeps them informed. Serves as staff to the Board and all committees, and is expected to attend all such meetings. Interprets trends in the field of hunger relief and the emergency food system by maintaining involvement in the field as a whole. Participates in an orientation and training program for the Board.

Staff — Recruits, trains, and evaluates staff. Supervises and directs staff in the performance of their duties, evaluates the performance of staff members, and provides overall control and direction for the personnel function of the organization, including active participation in or approval of personnel actions. Works with each employee to develop yearly objectives against which each employee is evaluated. Ensures that each employee receives training to perform their tasks more proficiently, to the extent resources permit.

Planning — Works with the Board of Directors and staff to evaluate the services being provided by the Vashon Maury Community Food Bank in relation to specified goals and standards, and recommends modifications, where appropriate. Recommends and/or provides input on proposed new programs.

Finance — Works with treasurer to prepare agency budgets related to physical, financial, and human resources, and is accountable for control of these resources once approved. Directs all financial operations of the Vashon Maury Community Food Bank. Participates as the chief fundraising staff by working with, and supporting the fund development chair and committee to plan and implement fundraising activities. Maintains accurate records of fundraising activities, donors and related financial data. Maintains and cultivates donor and community relations by writing letters, making speeches, and stimulating activities of others in direct fundraising. Participates in an annual financial review or audit and assures filing of the organization’s Form 990.

Community Relations — The Executive Director handles public relations activities, client relations, and interagency relations functions.

• Public Relations — Interprets the mission and function of the Vashon Maury Community Food Bank to the community through direct involvement and through public relations programs, including personal contact, descriptive program literature, and work with the media; works closely with the Board for an effective division of labor.

• Client Relations — Acts to maintain highly effective client relations under all agency programs.

• Interagency Relations — Maintains appropriate relations with other professional and social service groups in the community and may serve on appropriate community committees.

• Grant Writing — Searches for appropriate sources to provide grants for the VMCFB. Must write compelling grant applications that will result in the receipt of outside funds for the operation of the VMCFB.

• Fundraising — The VMCFB is totally dependent on funding from donations made by the community, grants, and other support. With the forthcoming building of a new facility, the ED must focus much of her/his time to developing plans for this major fundraising activity. At the same time, the ED also must ensure that fundraising for day-to-day operations are sustained.

Organizational Operations — Recommends policies to the Board and/or assists in the formulation of effective policies by the Board. Has chief administrative responsibility for public accountability of the Vashon Maury Community Food Bank, maintenance of agency facilities, and regular reporting to various bodies. Carries chief staff responsibility to ensure that legal obligations of the agency are met.

Facilities Development and Management — Is responsible for developing plans and recommendations for the maintenance of the current facility, and for ensuring that necessary repairs, as approved by the Board of Directors, are completed in a timely and appropriate manner. As the VMCFB moves toward a new facility in the future, the ED must work with the Board, the Facilities and Farm Committee, and outside consultants to evaluate needs, develop building plans, overseeing construction, and keeping the Board completely informed as to progress in this endeavor.

QUALIFICATIONS

-Solid organization, personnel, and managerial skills, including at least two years experience managing a not for profit organization, that includes a volunteer program, and requires substantial fundraising to operate.

-Strong written and oral communication skills accompanied with strong interpersonal skills.

-Knowledge of non-profit sector and fundraising, both for maintaining daily operations and to fund a new facility.

-Ability to work well in a culturally diverse environment.

-Computer competence in word processing, spreadsheets, database processes, and Quick Books.

-Knowledge in basic nutrition.

-College degree preferred, or sufficient combination of education and experience.

-Ability to lift 30 pounds, a valid driver’s license, bondable, able to pass a WA State Patrol background check.

-Flexibility to work weekend and evening hours.
