TITLE: Health Services Administrative Coordinator 100%

Shift Monday through Friday 8:00am to 5:00pm
SUMMARY: The Health Services Administrative Coordinator performs administrative duties for Health Services senior management, a group that includes the Chief Clinical Operations Officer, the Chief Medical Officer, and department operations and medical directors for the Alcohol and Drug Services, Mental Health Services, and Primary Care departments. Each Health Services Administrative Coordinator will be assigned to a specific pool of Health Services senior management team members, but may provide support to any member of the group as needed. Responsibilities include project coordination, preparing reports and data, scheduling and meeting support, word processing, and customer relations. This position requires flexibility, interpersonal skills, organizational skills, strong computer skills, and the ability to work well with all levels of internal management and staff, as well as outside stakeholders.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Act as administrative assistant for assigned members of Health Services senior management, including assisting with correspondence, organizational and filing systems, communications with internal and external partners, and other duties as assigned.
Maintain assigned senior Health Services management’s non-clinical schedules by planning and scheduling meetings, conferences, teleconferences, travel, and other items.
Adhere to all state and federal privacy regulations, including HIPAA and 42 CFR Part 2, and to CCC policies and agreements regarding confidentiality, privacy, and security. Support compliance with all privacy and security requirements pursuant to community partners’ and outside providers’ patient confidentiality agreements, including privacy and security requirements for EMR access. This includes immediate reporting of any PHI breach of CCC or outside provider health records to the CCC Legal and Compliance departments, as well as to the program administrator.
Staffs assigned senior Health Services management meetings, and other meetings as assigned, including scheduling and coordinating meetings, attending meetings, and coordinating agendas and follow up items.
Complete a variety of computer-based tasks related to documentation in the appropriate format, including but not limited to: typing correspondence, memos, and reports; completing applications and data entry; and creating charts, graphs, and reports.
Coordinate and manages projects as assigned.
Assist assigned Health Services senior management to fulfill grants and contracts management and reporting requirements for grants and contracts, as needed.
Assist assigned Health Services senior management to reconcile time cards, credit card approvals, payment approvals, and other daily operations.
DESCRIPTION OF OTHER DUTIES:
Participate in professional development activities and required trainings.
Performs other duties and responsibilities as assigned by Health Services senior management.
SKILLS AND ABILITIES
Ability to communicate clearly, concisely and courteously, both orally and in writing, with the general public, clients, patients, medical personnel and co-workers.
Excellent computer skills and high proficiency in Microsoft Office Suite.
Good organizational and problem solving skills; ability to prioritize and meet deadlines.
Ability to work effectively as part of a team.
Sound decision-making skills and excellent professional judgment, including ability to handle sensitive and confidential information on a daily and ongoing basis.
Ability to manage time and meet deadlines.
Ability to maintain accurate records and necessary paperwork.
Ability to maintain highest standards of confidentiality with regard to patient/client information as well as operational and clinical information.
Ability to learn and apply training instruction.
Experience with office machines (fax, photocopier, phone systems) required.
Ability to work in busy healthcare environment setting where people may be hostile or abusive.
MINIMUM QUALIFICATIONS:
Bachelor’s degree in a social sciences, health sciences, or related field; or two years progressive experience performing administrative duties, preferably in a large nonprofit or community service organization; or a combination of education and experience that would demonstrate the ability to perform the essential duties and responsibilities.
Must pass a pre-employment drug screen, TB test, and background check.
Physical ability to bend, stoop, kneel, squat, twist, reach, pull and lift heavy objects.
Ability to climb stairs several times a day.
Must adhere to agency’s non-discrimination policies.
