Institutional Gifts Associate – SF-Marin Food Bank – San Francisco, CA

PURPOSE OF POSITION: The Institutional Gifts Associate reports to the Grants Manager and works closely with the Grants Manager, Corporate Development Manager, and Associate Director, Leadership Gifts toprovide professional support for the Institutional Gifts Team, including: prospect research, administration, donor correspondence, proposal development and grant reporting. The Institutional Gifts Associate researches, organizes, and assists in writing foundation and corporate grant proposals that support the short- and long-term fundraising goals of the SF-Marin Food Bank. S/he maintains, collects, and synthesizes grants information; monitors donor status; and assists with donor cultivation/recognition. The Institutional Gifts Associate is also responsible for maintaining and updating all internal foundation and corporate records.

DUTIES AND RESPONSIBILITIES

    1. Research

Identifies new prospects by researching potential foundation grant makers and monitoring/searching various sources to identify applicable grant opportunities.
Analyzes and recommends funding opportunities to pursue from pool of prospective grant makers.
Manages and updates an ongoing list of prospect foundations.

    2. Administration

Coordinates the preparation, mailing, and/or submission of letters of intent, follow-up letters, reports, and other grant-related documents, as needed.
Meticulously proofreads outgoing letters, proposals, reports and other grant documents.
Assists in coordinating and compiling supplemental documents for proposals and reports as needed, ensuring that proposals and reports are submitted by the deadline.
Coordinates timely acknowledgement of all incoming grants and corporate gifts.
Processes all incoming grants and their paperwork and schedules all appropriate corresponding actions in The Raiser’s Edge.
Updates and tracks ongoing changes to organizational data from various departments within the organization.
Maintains and updates data on funders in hard files, electronic files, and The Raiser’s Edge.
Produces grant tracking reports from database for monthly tracking, strategic planning, and budget management purposes.

    3. Grant Writing and Stewardship

Develops proposal and report language as assigned, including research, data collection, writing, budget, and supporting materials.

Writes grant proposals to solicit, retain, and maximize financial support according to grant makers’ guidelines and deadlines.
Tracks the status of funded projects and coordinates reports to funders. Works with Programs, Operations, and Finance & Administration staff as needed to collect program outcome data and evaluate performance. Writes and submits reports according to grant makers’ guidelines and deadlines.
Assists in building and stewarding sustainable relationships with foundation, corporate, and government funders. Develops contact with and facilitates meetings between grant makers and Food Bank leadership as needed.

    4. Other Funding Projects

Assists development staff with selected fundraising activities to achieve department and organization goals, which include but are not limited to, donor recognition/cultivation events and corporate partner/sponsor projects.
Assists with the production of written collateral to support broader development goals as needed.
Other projects as assigned.

QUALIFICATIONS

Strong writing and proofreading skills required.
1 – 2 years non-profit development experience.
Knowledge of basic fundraising techniques and strategies, and familiarity with grants prospect research preferred.
Excellent research, writing, and strategic-thinking skills.
Ability to work effectively in a team setting.
Ability to work independently under deadline, juggle multiple priorities and maintain professional work style.
Proficiency with Word, Excel, and web-based research.
Experience with The Raiser’s Edge a plus
Bachelor’s degree required.
