Office Administrator – Beacon Hill Village – Boston, MA

POSITION SUMMARY:

Beacon Hill Village, a non-profit membership organization that is changing the experience of aging and helping older adults lead active, independent and healthy lives, is seeking a motivated, enthusiastic individual to function as first point of contact for our members and provide administrative support for office operations. Part-time, 25-28 hours per week.

ESSENTIAL FUNCTIONS:

Office Administration

Provide telephone reception and respond to member calls
Manage correspondence, mailings and requests for information
Manage office supplies, equipment, and printed materials
Manage office technology environment and member database
Provide administrative support to Executive Director and staff as required

Member Services and Program Support

Coordinate transportation requests and taxi voucher program
Maintain member information and manage member renewal process
Maintain online activities calendar
Manage and track member program registrations
Support member activities and events as required

Marketing, Outreach and Development Support

Maintain BHV website content and post updates to online social network environment (Facebook, Twitter)
Manage regular electronic communications to members
Respond to and track prospect requests/activity
Maintain membership statistics
Support outreach activities as required
Track charitable contributions
Support fundraising events as required

QUALIFICATIONS AND EXPERIENCE

BA/BS or equivalent experience required; prior experience with non-profits preferred
Must be highly organized, detail oriented, flexible, self-motivated, team oriented and able to multi-task in a fast-paced open environment
Strong communication and interpersonal skills with a customer/member focus essential
Must be highly proficient with Excel and other MS Office (Word, Powerpoint, Publisher)
General knowledge of office equipment (copier, fax, phone, computers and printers) required
Experience with older adult population and social networking a plus

COMPENSATION: Commensurate with experience. Two weeks paid vacation.

All our programs and services are in direct response to the expressed needs and desires of our members.
