Position Description
The church office is the hub of communication and requires efficient office management and day-to-day operations. The Office Administrator coordinates all church office activity. Working directly with the entire office and ministry staff, the Office Administrator will attend to the daily administrative responsibilities of the organization including clerical and secretarial support and managing incoming visitors, phone calls, mail and other items as necessary. It is expected that the Office Administrator will be a key team player in helping the staff and congregation meet FRS’s mission.
Core Responsibilities
1) Serves as the first line of communications for FRS with members and the public.
2) Supports the Business Administrator in the efficient management of the church’s business and financial affairs
3) Provides secretarial support to the Minister, Director of Religious Education, Music Director, the Director of Community Engagement and church committees and members
4) Responsible for the Membership portion of the church database system.
5) Performs some bookkeeping functions
6) Makes use of technology training resources to enhance existing skills and acquire new ones..
7) Works with business administrator to design and implement systems that coordinate and simplify office activities as appropriate.
The successful candidate will have the following knowledge and skills:
Strong customer service skills with demonstrated ability to establish good working relationships and maintain a pleasant demeanor with the range of people interacting with the church office on a daily basis including staff members, church members, and visitors.
Strong technology skills including proficiency with basic Microsoft Office applications including Word, Excel, and Outlook and the aptitude for, and interest in learning additional computer software as needed.
Ability to organize, manage and carry out administrative and logistical tasks in a timely manner
Demonstrated ability to work independently, multitask and manage multiple projects in an efficient manner.
A commitment to confidentiality regarding all records, both of the church and staff, and the members.
Commitment to work effectively and collaboratively in a team.
