Organization Overview: Free Arts for Abused Children brings hope, self-esteem and self-efficacy to abused, homeless, and impoverished children through innovative creative arts. Located in Playa Vista, Free Arts was founded more than 35 years ago by Art Therapists who believed in the healing power of art. Each year, we uplift the lives of more than 25,000 children through collaboration with nearly 50 partner agencies throughout Los Angeles.
Position Overview: The Office Coordinator enters accounts receivable and payables into Quickbooks, processes payroll entry, processes HR forms and requests, and orders office supplies.
Title: Office Coordinator
Status: Part-time, non-exempt
Schedule: Flexible within a standard workday
Environment: Casual, upbeat, fun arts office environment in Playa Vista
Reports to: Executive Director
Primary Responsibilities
Operations
Assist in answering phones and welcoming visitors and volunteers
Order office supplies and monitor supply inventory
Order repair of office equipment and maintain equipment inventory
Coordinate with vendors providing office maintenance and technical support
Provide basic IT assistance to staff
Organize and maintain electronic files
Accounting
Enter accounts payable and donations into Quickbooks
Payroll entry and coordination
Make bank deposits
Extract data from Quickbooks and other software programs as requested by Executive Director
Human Resources
Processing of new employees
Process PTO requests
Secondary Responsibilities
Run errands as needed
Other tasks as assigned
Qualifications
Minimum one to two years in an office environment; nonprofit preferred
Familiarity with accounting and bookkeeping principles
Experience with human resources policies and procedures
Demonstrated ability to manage multiple projects, priorities, and deadlines
Strong communication skills, both verbal and written, and a strong attention to detail
Knowledge of the mission and programs of Free Arts for Abused Children
Valid driver’s license and access to reliable transportation
Computer Proficiency:
Quickbooks, Google Calendar and Docs, Microsoft Office, eTapestry
Physical Requirements: Maintaining files and supplies requires stooping and lifting as well as carrying, pushing, and pulling boxes and other materials up to 50 pounds. This position also requires frequent extended periods of sitting at a desk, standing, speaking, writing, typing, and reading papers and/or computer screens.
