OVERVIEW
The Office Manager is responsible for all financial tasks, financial aspects of fundraising/ friendraising efforts and management of the facilities.
RESPONSIBILITIES
Finance
Process and prepare all checks for signature.
Process all deposits including checks, credit cards and online donations.
Manage all bookkeeping functions in Quicken.
Monitor bank balances.
Prepare quarterly financial statements for review with Executive Director, Board President and Treasurer.
Manage the annual budget process, in collaboration with the Executive Director.
Prepare income tax returns in conjunction with the accountant.
Oversee the annual audit.
Fundraising
Manage all finances and financial reports for fundraisers and friendraisers.
Coordinate and oversee all mailers, including, but not limited to, the annual fundraising letter, newsletter, event save the dates, invitations, etc.
Coordinate and oversee registration for fundraisers such as the spring benefit, races, walkathon, etc.
Maintain, update and balance the donor database.
Prepare and mail donor thank you letters.
Correspond with donors as needed.
Facility Management
Oversee facilities including, but not limited to, scheduling cleaning services, communicating necessary repairs to the landlord, managing the proper functioning of office technology, etc.
Take inventory and purchasing office supplies and other necessary materials.
REPORTS
The Office Manager reports to the Executive Director and works with the Board of Directors/Treasurer.
REQUIREMENTS
Erika’s Lighthouse is a small not-for-profit organzation. Each member of our team wears multiple hats and works collaboratively to achieve our goals. An ideal candidate for this position is someone who works well as part of a team, has high attention to detail, takes initative and has excellent interpersonal skills.
This job requires bookkeeping experience and basic computer skills such as knowledge of Microsoft Excel and Microsoft Word
